LHH is partnering with a large technology company in Milpitas, CA, to find an Executive Assistant to support a Senior Vice President and leadership team. This role involves managing executive calendars, coordinating meetings and events, and providing project support while ensuring effective communication and operational management.

Responsibilities

Manage and prioritize a fast-changing executive calendar, coordinating across C‑suite leaders, business partners, and global teams
Proactively gather agendas, prepare attendee lists, and ensure meeting readiness
Plan and coordinate internal/external meetings, leadership offsites, and organizational events
Prepare and compile briefing documents for executive meetings and business travel
Provide on-the-ground support (note-taking, action tracking, logistics, and catering coordination)
Act as a trusted proxy for communications and approvals, handling inquiries with professionalism and sound judgment
Draft and refine meeting summaries and notes to drive follow-through and outcomes
Redirect routine matters to appropriate stakeholders and ensure timely follow-up
Coordinate complex domestic and international travel (itineraries, visas, passport requirements)
Provide real-time support for travel adjustments and logistics
Prepare expense reports, manage purchase orders, and navigate internal systems
Partner with support teams to ensure seamless technology use in meetings and events
Collaborate with Finance, HR, and other leaders on special projects and strategic initiatives
Conduct research, analyze issues, and provide recommendations for executive decision-making
Contribute to the executive administrative community by mentoring peers, sharing best practices, and supporting team development
Cascade key organizational updates and help align administrative staff

Required

5+ years of recent experience supporting C-suite executives in a public company
Expertise with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); ability to create and edit executive-level presentations
Proven success managing complex global calendars and multi-leg international travel
Strong business judgment, discretion with sensitive information, and professional presence
Exceptional organizational, time management, and critical-thinking skills
Demonstrated ability to anticipate needs, solve problems proactively, and manage competing priorities in a fast-paced environment
Excellent verbal and written communication skills
Collaborative, team-oriented mindset with a proactive and supportive approach
Leadership qualities with the ability to mentor and influence peers
Values-driven: ethical, inclusive, respectful, and professional in all interactions
Bachelor's degree preferred
