Office Coordinator & Bookkeeper | Innovative Architecture Firm
Bespoke Careers is a nationally recognized architecture and design firm based in Kansas City, seeking a highly organized and proactive Office Coordinator with AP/AR experience. The role involves managing administrative, financial, and operational tasks to ensure the smooth operation of the studio’s daily activities.
Responsibilities
Oversee general office operations, including supplies, equipment, and vendor coordination
Manage scheduling, meeting logistics, and internal communications
Maintain organized systems for documentation, records, and office procedures
Support HR functions such as onboarding, benefits coordination, and time tracking
Assist with financial tasks including invoicing, expense reporting, and budget tracking
Serve as a liaison between staff, leadership, and external partners
Ensure compliance with internal policies and procedures
Foster a positive and professional office culture
Qualification
Required
Previous experience in office management or administrative support
Strong organizational and multitasking skills
Excellent communication and interpersonal abilities
Proficiency in Microsoft Office, QuickBooks, and office management software
Ability to work independently and collaboratively
Preferred
Bachelor's degree preferred; equivalent experience considered
Experience in architecture, design, or creative industries
Familiarity with project management tools and CRM systems
Basic accounting or bookkeeping knowledge
