Community Engagement & Learning Coordinator (Administrative Analyst/Specialist - Exempt I) - Institu

Responsibilities
Manage student placement processes for service learning, academic internships, and early fieldwork across SF State departments
Oversee and maintain ULink, the university's community engagement platform, ensuring accurate information on student placements, faculty assignments, and community partner opportunities
Coordinate CSU-required compliance processes, including student consent forms, assessment of community organizations, and Learning Placement Site Agreements (LPSAs)
Serve as the primary liaison to Risk Management, Procurement, and Information Technology Services for matters related to placement logistics and system functionality
Maintain the working relationship with ULink's external vendor (Fundly), including coordination of annual service agreement renewals, payment processing, and communication for administrative oversight
Provide training and support to faculty, students, and community partners navigating placement procedures and the ULink platform
Routinely update and maintain outreach materials, user guides, and training resources to reflect current procedures and system enhancements
Develop, review, and onboard partnerships with community organizations aligned with curricular and co-curricular learning
Assess community organizations for alignment with course learning outcomes and CSU-mandated risk compliance requirements
Match partners with academic courses to support mutually beneficial and mission-aligned placements
Lead orientations, workshops, and resource development for partners
Respond to inquiries and ensure alignment with university policies and engagement priorities
Maintain accurate partner records, sector categorizations, and impact tracking
Routinely update and maintain outreach materials, user guides, and training resources to reflect current procedures and system enhancements
Serve as a liaison to long-standing and anchor partnerships, including the OMI Community Collaborative, and support the development of place-based, equity-focused engagement initiatives
Coordinate Community Service Learning (CSLI) and Curricular-Engaged Learning (CCEL) course attribution in collaboration with academic departments, Academic Resources, and the Registrar's Office
Support faculty-including ICCE's Community Engaged Faculty Ambassadors-in course planning, service integration, site placement support, and aligning activities with student learning outcomes; facilitate connections between faculty and community partners to support engaged course development. This role provides logistical and programmatic support, not curriculum development
Manage community-engaged learning mini-grant cycles, including outreach, application review, fund disbursement coordination, and grant reporting
Collaborate with faculty and campus partners to promote high-impact practices and civic learning opportunities that advance equity focused community engagement
Collect, maintain, and analyze data on placements, faculty engagement, student hours, and partner participation
Run reports and data queries to inform ICCE strategy, grants, and university reporting requirements
Track CSL and CCEL metrics, plus engagement in co-curricular and non-course-based community engagement initiatives
Prepare infographics, charts, and summaries for reports, outreach materials, website, etc
Lead the drafting and production of ICCE's annual impact report and other external submissions (e.g., CSU Chancellor's Office, WASC)
Plan and implement key ICCE events including the Service & Internship Fair, community partner orientation sessions, and student engagement workshops
Coordinate event logistics, promotion, registration, and follow-up communication
Represent ICCE at campus-wide events, classroom presentations, faculty workshops, orientation programs, and external tabling opportunities

Qualification
Required
General knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods
A bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs
Working knowledge of and ability to apply standard theories, principles, practices, and techniques applicable to the program and/or administrative specialty to develop conclusions and make recommendations
Thorough knowledge of policies, procedures, and outside regulations pertaining to the applicable program and/or administrative specialty
Working knowledge of operational and fiscal analysis and techniques
Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved
Skill in the research, development, and evaluation of policies and programs, including skill in the collection, evaluation, and interpretation of data to develop sound conclusions and make appropriate recommendations
Expertise in investigating and analyzing problems with a broad administrative impact and implications
Demonstrated ability to effectively interpret, organize, and present information and ideas in written or presentation form
Ability to train others on new skills and procedures and provide lead work direction
Preferred
Demonstrated experience working in community engagement, community service programs, or experiential education, preferably within a higher education context
Experience coordinating student placements, program logistics, or faculty/community partnerships
Strong attention to detail and ability to manage multiple projects in a fast-paced, collaborative team environment
Experience collecting, tracking, and reporting quantitative and qualitative data using tools such as Excel, Google forms, or campus platforms (e.g., ULink, Qualtrics)
Strong written and verbal communication skills, including experience with outreach and engagement (e.g., emails, flyers, digital materials, or training content)
Basic design or tech fluency (e.g., Canva, PowerPoint, Google Workspace) for public-facing outreach and event support
Prior work experience supporting diversity, equity, and inclusion efforts in an educational or nonprofit setting
