Project Coordinator

Ai Global Solutions (AiGS) is looking for a Project Coordinator to join our growing team. This role is ideal for someone who is highly organized and process-driven, responsible for contractor onboarding and management operations. Over time, this role may also include individual project coordination and oversight of staff augmentation engagements.

Responsibilities

Own and manage contractor onboarding operations, including coordination of contracts, NDAs, background checks, system access, and required documentation
Act as the primary operational point of contact for contractors throughout their engagement lifecycle (onboarding, active engagement, offboarding)
Maintain accurate contractor records across internal systems (CRM, project tools, spreadsheets, HR/finance systems)
Coordinate closely with Delivery Leadership, Project Managers, and Operations to ensure contractors are onboarded on time and aligned to project needs
Track contractor assignments, availability, utilization, and engagement timelines
Support contractor renewals, extensions, rate updates, and offboarding processes
Ensure compliance with internal policies, client requirements, and contractual obligations related to contractor engagements
Assist with coordination of staff augmentation arrangements, including tracking hours, roles, and engagement terms
Over time, support individual project coordination, including task tracking, status updates, and cross-team communication
Communicate clearly and professionally with internal stakeholders and external contractors in English
Continuously improve contractor onboarding, tracking, and operational processes through documentation and process refinement

Required

Fluent English communication skills (written and verbal) – required
Experience in project coordination, operations, contractor management, or professional services support roles
Strong organizational skills with exceptional attention to detail
Experience coordinating onboarding or operational processes across multiple stakeholders
Comfort managing multiple workstreams, deadlines, and priorities simultaneously
Proficiency with spreadsheets (Excel or Google Sheets) and operational tracking tools
Ability to work independently in a remote environment while maintaining accountability and responsiveness
Based in Florida and within reasonable driving distance of Tampa

Preferred

Experience supporting professional services, consulting, or technology teams
Familiarity with contractor or staff augmentation models
Experience working with project management tools (e.g., Asana, Jira, Monday, Smartsheet, or similar)
Exposure to contracts, statements of work (SOWs), or engagement terms
Experience coordinating near-shore or remote contractors
Prior experience supporting US-based clients or companies
