Administrative Coordinator
Powerstone Property Management is currently seeking a full-time Administrative Coordinator to join our team on-site at the Aliso Viejo Community Association office. This role plays a key part in supporting the General Manager and the AVCA team with various administrative and clerical responsibilities.

Responsibilities
Provides administrative support, more catered to parks and landscape related day to day, with daily responsibilities including but not limited to research and preparation of parks/landscape projects, work orders, scheduling, invoicing, preparing administrative documents, Board packet preparation, issuing violation letters, drafting correspondence, and seeking proposals
Interface with staff, residents, vendors and members of the Board and Committees
Responsible for office administrative operations
Assists in the maintenance and recreation departments as needed
Attendance at Board and Committee Meetings
Interface with guests, residents, Board members, committee members, staff, vendors, etc., answering phones and greeting all while providing exceptional customer service
Coordinating functions between managers/supervisors as well as services provided by outside contractors, i.e., various association/vendor programs, office equipment, etc
Facilitate and track the preparation and distribution of accounts payables, association mailings, escrow requests, and resident non-compliance matters
Maintain escrow and non-compliance records relating to the Association’s membership and governance to include database and individual files for all homeowners, updating and initiating new files as necessary
Assist with community Architectural items
Process daily citations/violations
Prepare monthly Board minutes as requested
At times, coordinate food arrangements for Board lunches
Verify vendor insurance coverage is current
Monitor vendor contracts, expiring terms, etc
Maintain annual calendar for Association with all meeting dates and important association events
Other duties as assigned
Qualification
Required
High school degree, between three and five years of related experience, or equivalent combination of education and experience
Must be organized, detail oriented, able to multi-task and prioritize in fast paced environment
Must have exceptional customer service abilities
Excellent written and oral communication skills
Strong organization, problem solving and analytical skills
Ability to manage priorities and workflow
Ability to work under stress, with interruptions, and meet all deadlines
Ability to process verbal information and input this information into computer system
Ability to follow complex instructions
Ability to work flexible hours, possibly nights and weekends
Ability to perform diverse administrative functions and basic accounting procedures
Ability to type 60 wpm and proficient in Microsoft Word, Excel, and Outlook
