Responsibilities

Deliver white-glove onboarding experiences, including detailed preboarding communication, bespoke welcome agendas, and curated connection points with key leaders
Partner with executive assistants, hiring managers, recruiter, and people team leads to ensure calendars, technology, and resources are prepared ahead of the new hire's first day
Maintain executive onboarding guides, templates, and schedules tailored to senior-level integration and business immersion
Update and maintain onboarding materials including welcome decks, session agendas
Collaborate cross-functionally with IT, HR, Recruiting, and People Experience teams to ensure a seamless and consistent experience
Collect feedback from new hires and stakeholders to identify experience improvements and process optimizations
Maintain task checklists and onboarding trackers across regions and employee types (corporate, creative, executive)
Identify opportunities to streamline onboarding operations using automation and AI tools
Brand Experience: Curate and manage 'Welcome Kits' and physical or digital branded touchpoints that reflect our company’s unique identity

Required

3+ years of experience in HR, Talent Coordination, or Employee Experience with a specific focus onboarding
Exceptional public speaking and interpersonal skills; ability to represent the company brand with warmth and professionalism
Proficiency with modern HRIS platforms, Applicant Tracking Systems (ATS), and virtual collaboration tools (Slack, Zoom, Microsoft Teams)
A 'zero-mistake' mindset regarding administrative tasks and logistical coordination
A high degree of emotional intelligence to anticipate new hire needs and provide tailored support
Bilingual: in English and Spanish

Preferred

Bachelor's degree in human resources, Business, or a related field preferred
