Legal Administrative Assistant

Trustpoint.One is partnering with a Texas-based law firm to find an experienced Legal Administrative Assistant to support attorneys in their White Collar & Investigations practice group. The role involves managing documents, coordinating travel, and handling various administrative tasks to ensure smooth operations within the legal environment.

Responsibilities

Create, format, edit, proofread, and manage Word documents, Excel spreadsheets, and PowerPoint presentations
Draft routine correspondence and forms under attorney supervision
Manage attorney calendars, meetings, appointments, and client deadlines
Coordinate domestic and international travel arrangements, including flights, hotels, and car rentals
Process expense reports, reimbursements, invoices, business intake, and check requests
Run conflict checks, open new client matters, and assist with engagement letters and required documentation
Perform filing, scanning, copying, compiling, and distribution of documents
Coordinate with administrative departments such as IT, billing, and office services
Independently manage complex assignments to ensure accuracy and timeliness
Enter attorney time and assist with monthly billing processes as directed
Organize and maintain correspondence, memoranda, pleadings, and other legal documents
Answer phones, manage mail, and interact professionally with clients
Maintain and organize client files

Required

4+ years of experience supporting attorneys in a law firm or professional services environment
Strong administrative, word processing, and document management skills
Experience with document management systems
Exceptional attention to detail and proofreading abilities
Ability to prioritize multiple tasks and meet deadlines under pressure
Strong communication, interpersonal, and customer service skills
Ability to work independently while remaining a collaborative team player

Preferred

Bachelor's degree preferred
Notary preferred
