Responsibilities

Job Costing: Track expenses against specific projects. Run reports for job cost analysis and interpretation
A/P: Input all vendor invoices and credit card receipts managing job costing and proper cost codes
Manage all aspects of A/R for short receivable cycle
Payroll: Process weekly payroll hours for field crews, including burdened labor rates and prevailing wage if applicable
Financial Reporting: Prepare monthly P&L statements, balance sheets, and cash flow forecasts
Insurance & Licensing: Maintain up-to-date COIs and ensure all business licenses and permits are active
HR Support: Manage new hire onboarding and benefits administration
Vendor Relations: Maintain the database of suppliers and subcontractors, ensuring all W-9s are on file
Software Management: Utilize accounting software and coordinate with project management tools
Document Control: Organize and archive project contracts, bids, and close-out documents
Prevailing Wage & Certified Payroll: Ensure all field staff are paid according to government-mandated paygrades (Davis-Bacon)
Compliance Reporting: Prepare and submit certified payroll reports (Form WH-347) and EEO compliance documents to government agencies
AIA Progress Billing: Handle G702/G703 billing formats for government, municipal, and commercial contracts
Lien Waiver Management: Process and track lien waivers for customers

Required

Experience in project and cost accounting
Ability to track expenses against specific projects
Experience with accounts payable (A/P) and accounts receivable (A/R)
Ability to process weekly payroll hours for field crews
Experience in preparing monthly P&L statements, balance sheets, and cash flow forecasts
Knowledge of maintaining insurance and licensing documentation
Experience in managing new hire onboarding and benefits administration
Ability to maintain vendor relations and manage supplier databases
Experience with accounting software and project management tools
Ability to organize and archive project contracts, bids, and close-out documents
Knowledge of prevailing wage and certified payroll requirements
Experience in preparing and submitting certified payroll reports
Ability to handle AIA progress billing formats
Experience in processing and tracking lien waivers
