Executive Administrative Assistant

Responsibilities
Provide comprehensive executive administrative support, including calendar management and scheduling via Microsoft Outlook Calendar and Google Workspace
Coordinate and assist with project management tasks, ensuring deadlines are met and deliverables are organized efficiently
Manage correspondence, phone etiquette, and communication with clients, vendors, and internal teams using multi-line phone systems and professional communication standards
Prepare, proofread, and transcribe documents, reports, presentations, and emails with attention to detail
Organize meetings, conferences, and events through event planning skills; handle logistics and follow-up activities
Maintain accurate filing systems both digitally and physically; oversee document management using tools like DocuSign for electronic signatures
Perform bookkeeping and basic accounting tasks utilizing QuickBooks; handle invoicing, expense tracking, and data entry with precision
Coordinate front desk activities, and ensure a welcoming environment for visitors
Support personal assistant duties as needed for executive team members including travel arrangements and personal scheduling
Ensure office operations run smoothly by managing clerical tasks such as filing, data entry, proofreading, transcription, and maintaining organizational standards
Qualification
Required
Proven experience in office management or administrative support roles; prior personal assistant or executive assistant experience is required
Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
Excellent typing speed combined with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Microsoft Outlook Calendar, Google Workspace (Docs, Sheets), and familiarity with DocuSign
Demonstrated experience with bookkeeping software such as QuickBooks; basic understanding of accounting principles is a plus
Exceptional communication skills including phone etiquette and customer service orientation
High level of computer literacy with the ability to adapt quickly to new software tools and platforms
Attention to detail for proofreading, transcription accuracy, and data entry precision
Ability to coordinate multiple projects simultaneously while maintaining professionalism under pressure
Preferred
Bilingual - English/Chinese Mandarin preferred
Previous experience with event planning and project coordination is advantageous
