Responsibilities

Provide timely, accurate quotes for fleet upfit projects to assist the outside sales team in winning deals – often turning around quote requests within hours to meet urgent needs
Coordinate parts ordering and vendor relations: Work closely with our Parts Department and external equipment suppliers to source lights, sirens, radios, cages, and other upfit components. Maintain strong vendor relationships to secure competitive pricing and availability, leveraging those connections to fulfill specialized vehicle requirements
Update pricing and protect margins: Regularly update the internal upfitting price lists and cost databases with current vendor pricing. Ensure quotes and orders are prepared with correct pricing and appropriate mark-ups to meet departmental margin goals while remaining competitive
Confirm part compatibility and accuracy: Verify that all parts and equipment quoted are compatible with the vehicle make/model and the intended upfit configuration. Double-check part numbers and specifications – one small error can lead to delays or rework, so meticulous attention to detail is a must. Review each order for correct prices, discounts, and product numbers to ensure everything is right the first time
Ensure correct and prompt order processing: Input and process upfit orders in the system once approved, and track each order through fulfillment. Make sure all documentation is complete and accurate, and that installations are scheduled promptly so vehicles are delivered on time
Liaise across departments for project success: Serve as the internal point of contact coordinating between outside sales, the parts department, and the installation technicians. Communicate lead times, delivery schedules, and upfit specifications to all stakeholders to keep projects on track. Provide updates to the sales team and assist with any adjustments needed to meet customer requirements or timeline changes
Support government fleet upfitting projects end-to-end: From initial quote through final installation, oversee the sales coordination for law enforcement and municipal fleet builds. Ensure each vehicle’s upfit meets the agency’s specifications and our quality standards, helping our dealership deliver on its public safety mission

Required

Experience: 3–5 years of experience in inside sales, parts coordination, or a related role (automotive or fleet industry experience is a plus). You should be comfortable handling sales quotes and coordinating orders in a fast-paced environment
Education: High school diploma or equivalent is required. (No college degree is necessary for this role, though any technical or business coursework is a plus.)
Detail-Oriented & Organized: The ideal candidate is highly organized and pays close attention to detail – behind every high-performing sales team is an organized, detail-oriented coordinator ensuring operations run like clockwork. This role involves managing many small but critical details (pricing, part numbers, schedules), so being meticulous is essential
Communication & Interpersonal Skills: Excellent communication skills (written and verbal) are required. You will be in constant contact with outside sales reps, vendors, and internal teams, so you must be able to convey information clearly, professionally, and collaboratively
Multitasking & Time Management: Ability to multitask and handle multiple projects or inquiries at once is a must. Our Fleet Department environment is fast-paced – you'll be answering calls/emails, creating quotes, and coordinating orders simultaneously, so you need to prioritize and stay organized under pressure
Customer Service Mindset: A strong customer service orientation – whether dealing with an outside sales rep or a government fleet client, you approach your work with a sense of urgency, accountability, and a commitment to getting vehicles finished correctly and on time

Preferred

Industry Knowledge (Preferred): A basic understanding of automotive parts or fleet upfitting components is beneficial. While not required, knowing products like emergency lighting, sirens, radio systems, vehicle partitions, etc., or having worked with law enforcement fleets will help you hit the ground running
Technical Skills: Proficiency with computers and the ability to quickly learn dealership management systems or CRM/ERP software for quotes and order entry. Familiarity with Microsoft Excel or similar tools for pricing updates is helpful
