Executive Administrative Assistant
Confidential company is seeking an Executive Administrative Assistant at the P3 level to provide high-level executive assistance and manage administrative operations. The role involves scheduling, coordinating onboarding, and driving process improvements while serving as a key operational partner to leadership.

Responsibilities
Manage CEO calendar, anticipate needs, and resolve scheduling conflicts
Coordinate domestic and international travel
Manage company subscriptions, vendor relationships, and invoice processing
Support companywide meetings and events, ensuring seamless logistics
Post job, schedule interviews, and perform basic candidate communications
Manage candidate pre-boarding, including equipment logistics and systems access
Work with vendors on technical configurations of new tools (ATS, onboarding workflows, scheduling tools)
Implement operational improvements across HR and admin workflows
Track inventory, swag orders, and company gift card programs
Qualification
Required
5+ years experience in EA, administrative operations, HR coordination, or similar roles
Proven ability to manage complex calendars and anticipate needs
Ability to improve workflows, build structure, and own processes
Exceptional organizational skills and professionalism
Tech-savvy; comfortable configuring tools and managing vendors
Operates with discretion, confidentiality, and sound judgment
Preferred
Experience supporting executives or operations in early-stage startups
