SECRETARY

The Department is seeking a Secretary to provide administrative support services, manage correspondence, and assist with public inquiries within the Division of Developmental Disabilities.

Responsibilities

Answers the phone, greet visitors and provides a variety of information related to the Division's services. Appropriately routes calls and visitors
Types a variety of forms, letters, memos and reports using Microsoft Office programs. Maintain office files
Opens, sorts, prioritizes and distributes incoming mail and faxes
Composes letters and memos for a variety of purposes, using correct grammar, punctuation, and sentence structure

Required

Basic office procedures
Proper grammar, sentence construction and punctuation
Telephone and customer service techniques
Accomplishing detailed work with speed and accuracy
Prioritizing a heavy workload
Operating a variety of office equipment, (e.g., copy machine, fax, etc.)
Transcribe dictated materials
Follow written and verbal instructions
Collect and organize data
Greet and assist the general public and visitors with tact and diplomacy
Successfully pass background and reference checks; employment is contingent upon completion of the above-mentioned process and the agency's ability to reasonably accommodate any restrictions
This position requires driving or the use of a vehicle as an essential function of the job to conduct State business, then the following requirements apply: Driver's License Requirements
All newly hired State employees are subject to and must successfully complete the Electronic Employment Eligibility Verification Program (E-Verify)

Preferred

Experience in an office setting
Experience using computer systems (e.g., Microsoft Word, Excel, Google etc.) is highly desirable
Preferably bilingual in Spanish, but not required
