Production Assistant (English–Chinese Bilingual)

Responsibilities

Support and assist the Production Manager in developing the overall production schedule for each event, and coordinate with the production team and other departments to ensure alignment on timelines and deliverables
Serve as a bilingual (English–Chinese) liaison and coordinator on-site, facilitating communication between the production team and other parties (e.g., truck drivers, equipment rental vendors, and venue personnel, etc.)
Arrange and coordinate trucking and equipment rentals (e.g., forklifts, telehandlers, generators, spider boxes, and cables, etc.) — including obtaining quotes, confirming delivery schedules, managing documentation, arranging payments, and resolving any issues during transportation or equipment use
Assist in resolving on-site challenges during load-in, event operation, and load-out, ensuring both safety and efficiency
Purchase tools, materials, and consumables required for production tasks when necessary
Assist in maintaining company-owned generators, electrical boxes, cables, forklifts, and other equipment by scheduling regular maintenance, ensuring correct operation with the production crew, and promptly coordinating repairs with vendors when issues arise. Keep accurate service and maintenance logs for all assets
Manage the scheduling, operation, and maintenance of company and rental vehicles to ensure availability and reliability
Assist in developing Standard Operating Procedures (SOPs), workflow checklists, and production guidelines to improve team efficiency and maintain safety standards
Track and monitor production expenses across all stages to support cost analysis and control
Perform other duties as assigned to support production and overall event success
Arrange housing (e.g., Airbnb) for the production team. Manage the company’s Long Island property by ensuring utilities are functional and coordinating necessary maintenance or upkeep
Provide logistical support including purchasing daily necessities/supplies and assisting with medical visits or translation needs for the crew when necessary
Assist with procurement and logistics for production supplies/materials and gift shop merchandise, including vendor communication, order coordination, inventory tracking, and shipping documentation
Support warehouse management by maintaining an organized and well-documented inventory system, ensuring accurate tracking and storage of materials and supplies
Serve as a bilingual liaison and coordinator to facilitate communication between the production team and warehouse manager

Required

Preferred Candidate's Location: New York / New Jersey area for convenient access to event sites. Lodging is provided (typically Airbnb, shared with other team members) for out-of-state assignments when necessary
Driving Skills: Strong and safe driving record; familiar with U.S. traffic laws; comfortable with frequent driving. Must have a personal vehicle for reliable commuting to various sites
Work Authorization: Must be legally eligible to work and report taxes in the United States
Educational/Professional Background: Bachelor's Degree required
Work Conditions: Comfortable working outdoors in varying weather conditions; able to lift and carry heavy items, set up tables and signage, and work flexible hours (evenings, weekends, holidays)
Technical Skills: Proficient with Google Suite, Microsoft Office, Adobe PDF, Keynote, and Asana
Language Skills: Fluent in both English and Chinese, with strong professional writing and communication skills for clear correspondence with team members, vendors, and partners
Character: We are looking for a proactive problem-solver who is eager to learn, takes ownership of tasks, and pays attention to the smallest details

Preferred

Background in event or entertainment production, construction, engineering, or logistics preferred
Familiarity with CAD software is a plus
