IP Prosecution Administrative Assistant

Arnall Golden Gregory LLP, an Atlanta-based law firm, is seeking a detail-oriented IP Prosecution Administrative Assistant to join its Intellectual Property prosecution team in the Washington, D.C. office. This role provides administrative support to patent and trademark paralegals and attorneys, focusing on the administrative aspects of patent and trademark prosecution.

Responsibilities

Monitor and track docketed reminders and upcoming due dates in the patent docketing system (CPI), review and annotate docket reports for accuracy, run reports, and follow up with the responsible paralegal and/or handling attorney to ensure matters are progressing timely (e.g., sending reminders)
Review official records from the USPTO Patent Center and foreign IP databases (e.g., application status, Office Actions, filing receipts, publication data) as needed. Assist with IDS reference tracking, verification of bibliographic data, and updating databases for docketing and reporting purposes
Draft client reporting emails for review by the paralegal or handling attorney, proofread and format client communications, and manage incoming and outgoing correspondence through Outlook
Organize and maintain electronic prosecution files and records in compliance with firm and client guidelines; process foreign counsel and vendor invoices; prepare routine forms and templates; support docket-related tracking and reminder follow-up; and enter daily time into the firm’s timekeeping system
Assist the trademark paralegal with docketing (WebTMS), correspondence, and other administrative tasks as needed

Required

High school diploma required; additional secretarial, business, or technical training is a plus
Prior office work experience is required; law firm experience is preferred
General familiarity with U.S. and/or foreign patent and trademark prosecution processes is required, including basic terminology and an understanding of how matters progress after filing for purposes of reminder monitoring, records review, and correspondence management
Meticulous attention to detail and strong organizational skills are essential, as errors in tracking and follow-up can have significant consequences
Proficiency in Microsoft Outlook and Word, with working knowledge of Excel, Adobe Acrobat, and document management systems
Strong written and verbal communication skills to interact effectively with attorneys, paralegals, and foreign associates
Proactive and analytical approach to managing multiple priorities and reminders in a fast-paced environment
Commitment to maintaining confidentiality and ethical standards when handling sensitive intellectual property information

Preferred

Familiarity with IP docketing systems, including CPI and/or WebTMS
Familiarity with billing and time entry software
Experience communicating with foreign associates
