Administrative Assistant - First Class Vending

Aramark Destinations is a leading provider of vending and micro-market solutions in Southern California. They are seeking a highly organized Administrative Assistant to support the President of First Class Vending by managing administrative tasks, coordinating deadlines, and ensuring exceptional client service.

Responsibilities

Provide general administrative support to the President and leadership team
Order office supplies and maintain inventory to ensure operational efficiency
Process expense reports accurately and in a timely manner
Support client requirements, including employee badging, signatory rights, and compliance documentation
Maintain required operational licenses and permits with city and state entities
Project manage crucial deadlines for client proposals and deliverables
Coordinate meetings, prepare agendas, and manage calendars
Maintain organized filing systems (digital and physical) for easy retrieval of documents
Assist with onboarding processes and internal communications as needed
Serve as a liaison across departments to ensure collaboration and timely execution of tasks
Handle confidential information with discretion and professionalism
Perform other general administrative tasks as assigned

Required

Proven track record of managing and delivering projects to strict deadlines
Exceptional attention to detail and organizational skills
Strong written and verbal communication abilities
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools
Ability to prioritize tasks and manage multiple responsibilities simultaneously
Professional demeanor and ability to maintain confidentiality
Collaborative mindset with strong interpersonal skills
High school diploma required

Preferred

Previous experience in an administrative or executive assistant role preferred
Associate or bachelor's degree in business administration or related field is a plus
