Responsibilities

Serve as the primary point of contact for all incoming and outgoing shipments (USPS, FedEx, UPS, and DHL)

Sort and deliver non-medical mail to appropriate departments such as HR, Legal, Executive Leadership, and Marketing

Identify and prioritize time-sensitive documents such as Insurance Denials, Appeals, and Authorizations

Securely handle incoming patient checks and Insurance Remittance Advices, ensuring they are delivered to the appropriate department

Convert physical mail and billing documents into high-resolution digital files

Audit scanned images to ensure legibility, as poor scans can lead to billing rejections

Strictly adhere to HIPAA regulations when handling Protected Health Information (PHI) to ensure patient confidentiality

Manage the lifecycle of physical documents, ensuring that sensitive paper records are stored securely and destroyed according to record retention policies

Ensure digital files are only shared via secure, encrypted internal channels

Qualification

Medical Billing ExperienceEHR/EMR SystemsMedical TerminologyGoogle Workspace/MS OfficeHIPAA Compliance

Required

1-2+ years in a medical office, health insurance, or medical billing environment

Proficiency in Google Workspace/MS Office and experience with EHR/EMR systems (e.g., Epic, Athenahealth, eClinicalWorks)

Consistent attendance and a valid driver's license for mail pickup are required

Must be willing to travel to pick up mail in different locations. Valid driver's license and reliable vehicle required

Strictly adhere to HIPAA regulations when handling Protected Health Information (PHI) to ensure patient confidentiality
