Executive Assistant

The MedElite Group is dedicated to improving the standard of care in skilled nursing and long-term care facilities. As an Executive Assistant, you will provide primary support to one of the principal Partners, managing administrative tasks, coordinating office activities, and enhancing productivity.

Responsibilities

Assist the Partners in managing direct reports by attending 1:1s, executive team meetings, setting/prioritizing agendas, and setting and managing project timelines and deliverables
Augment the Partners in external and internal meetings by preparing a strategic rationale for the meeting, meeting goals, and stakeholder context. Join meetings to take notes, and track follow-ups and next steps
Serve as a sounding board and thought partner to the Partners across all topics related to the company, from day-to-day management to meeting structure to strategic vision
Manage agendas, objectives, and operating cadence of executive team meetings, partnering with the Partners to ensure the right topics are surfaced and effectively discussed
Provide research, analysis, insights, and recommendations to the CEO to assist with key decisions
Periodically lead one-off projects on key strategic topics as they emerge, collaborating with stakeholders cross-functionally to ensure deliverables are produced effectively and efficiently
Oversee process improvement initiatives and act as a project manager for high-priority tasks

Actively participate in executive meetings to present ideas, debate others' ideas, and hold people accountable
Periodically lead one-off projects on key strategic topics as they emerge, collaborating with stakeholders cross-functionally to ensure deliverables are produced effectively and efficiently
Oversee process improvement initiatives and act as a project manager for high-priority tasks
Managing requests from the medical records and billing departments, gathering digital signatures for medical documentation
Manage the stocking of supplies for the Lakewood office, including snacks, drinks, and office supplies for the office on the 3rd and 1st floors
Manage the relationship with vendors
Work with HR to educate and enforce company policies and procedures in the Lakewood office
Welcome new hires and assist in workstation set up and in office onboarding
Assist with additional tasks for Medical Records and HR as needed
Manage the office budget and organize the monthly luncheon event

Required

4-6 years of work experience supporting executive staff in administrative functions, a plus for experience doing so in a healthcare environment
Strong analytical, organizational, and communication skills. Multi-tasking is a must
High EQ; excellent oral and written communication skills with strong executive presence, and the ability to understand and navigate a variety of different partnerships
Ability to interact collaboratively with and influence stakeholders at all levels with confidence and clarity
Skilled in distilling information into clear, actionable insights for different audiences
Willingness to tackle a wide range of tasks and challenges, providing support wherever needed, and demonstrating flexibility in addressing diverse needs across the organization
Experience with managing basic financials and proficiency in ensuring accuracy when reconciling expenses
The ability to be based out of the Brooklyn office with extensive travel out-of-state is a must
