Administrative Assistant

The Connecticut Department of Administrative Services is hiring an Administrative Assistant for the Division of Emergency Management and Homeland Security in Middletown. This role involves providing comprehensive administrative support to the Deputy Commissioner, managing schedules, meetings, and documentation related to emergency management functions.

Responsibilities

Meet daily with the Deputy Commissioner to establish their daily schedule and identify what support they will require for their scheduled activities
Schedule meetings (in person and virtual) for the Deputy Commissioner
Create meeting agendas, attend meetings, and complete meeting minutes
Prepare documents for signature and obtain necessary approvals to apply signatures
Support records retention and filing needs of the Division
Prepare and submit travel authorization requests
Triage Divisional staff requests needing leadership action
Support activations of the State Emergency Operations Center (SEOC) in Hartford

Required

Four (4) years of experience above the routine clerk level in office support or secretarial work
One (1) year of the General Experience must have been as a Secretary 2 or its equivalent
College training in the secretarial sciences may be substituted for the General Experience on the basis of 15 semester hours equalling one-half (1/2) year of experience to a maximum of two (2) years

Preferred

Experience with Microsoft Office programs including Word, Excel, Outlook, and Teams
Experience managing competing priorities while meeting deadlines
Experience communicating with internal and external stakeholders
Experience with composing correspondences and scheduling meetings
Experience researching, generating and maintaining reports
Experience with recording and transcribing meeting minutes
