Responsibilities

Lead recurring check-ins, agendas, and executive rhythms to ensure alignment and focus
Provide polished communication support that reflects executive presence
Adapt communication style to the leader’s preferences and operating framework
Manage and optimize complex executive calendars
Lead clients in best practices for calendar management across multiple platforms
Coordinate internal and external meetings and proactively resolve conflicts
Protect executive time by prioritizing requests and anticipating needs
Provide inbox oversight with strong categorization, prioritization, and follow-up
Offers inbox management solutions across multiple email platforms
Draft and refine executive-level correspondence that reflects clarity and professionalism
Develop and refine workflows, templates, and processes to improve executive efficiency
Support decision-making through structured information, summaries, and briefs
Maintain and organize files, documents, and digital systems
Plan and manage all travel arrangements (air, hotel, ground transportation)
Prepare travel itineraries and support the executive while in motion
Coordinate meetings, retreats, conferences, and off-site events
Handle logistics, materials, agendas, follow-up actions, and communications
Maintain accurate data within CRMs and digital platforms
Recommend technology solutions based on needs, insights, and best practices
Support light social media and digital presence tasks at the executive level
Provide professional personal assistance as needed to support executive bandwidth
Handle sensitive information with confidentiality, discretion, and judgment

Required

5+ years of experience supporting senior executives
Strong experience with executive-level calendar and inbox management
Polished written and verbal communication skills with the ability to adapt to client communication styles
Proficiency with digital tools, CRM systems, and common business platforms
Ability to anticipate needs, lead rhythms, and create structure in ambiguous environments
Comfortable working independently and managing multiple priorities
Available during standard business hours Monday–Friday, with occasional after-hours flexibility and a willingness to travel on occasion
Reliable home office setup with computer, webcam, smartphone, high-speed internet, and a quiet, well-lit workspace
