Responsibilities
Support multiple ongoing trademark projects (~6 projects)
Manage ownership assignments, name changes, and address changes
Perform data verification across trademark records (~40,000 trademarks)
Verify Powers of Attorney (POA), assignments, and related documents
Assist with document execution, notarization, and legalization
Research and verify information in IP databases
Collaborate with trademark paralegals, attorneys, global agents, and outside counsel
Communicate status updates to vendors and internal stakeholders
Retrieve completed documents from vendor portals
Send finalized documents to docketing teams for upload
Notify agents and stakeholders once tasks are completed
Assist with scanning, mailing, and physical document handling onsite
Support trademark-specific data cleanup initiatives
Review agreements and contracts for trademark-related data
Ensure accuracy and consistency in IP databases
Qualification
Required
Minimum 3+ years of trademark experience
Strong experience with chain of title work
Strong experience with trademark assignments
Strong experience with ownership, name, and address changes
Comfortable managing large trademark portfolios (~40,000 trademarks)
Experience with IP management systems (Memotech preferred, others acceptable)
Microsoft Excel proficiency (data manipulation, filtering, pivot tables)
Self-starter with strong attention to detail, able to work independently
Strong written and verbal communication skills
Candidate must be able to commute to Summit, NJ
Onsite presence required for document execution, scanning, mailing, and obtaining signatures
Preferred
Paralegal background (trademark focus)
New Jersey Notary certification (nice-to-have)
Consumer healthcare experience (optional)
Associate's degree or higher preferred
High school education acceptable if accompanied by strong trademark experience
Education secondary to hands-on trademark experience
