Responsibilities

Architect and executes annual experiential and social calendar that reflects the club’s luxury positioning, member lifestyle, and business objectives
Partner with Food + Drink, Group Fitness, Membership, Tennis, Training, Spa + Retail, and external collaborators to design integrated, aspirational experiences that feel at home in leading clubs and lifestyle destinations
Serve as a visible brand ambassador, ensuring every activation, from intimate salons to large-scale signature events, delivers a polished, high-touch experience consistent with five-star hospitality standards
Lead partnership management, sponsorship strategy, fundraising goals, marketing collaboration and post-event stewardship for the club’s marquee philanthropic event, 'Cycle for the Cure', benefiting the KU Cancer Center, and other community initiatives
Define and track key experience KPIs such as attendance, waitlists, unique participation, satisfaction scores, and retention impact, using insights to refine programming continually
Stay fluent in fitness, hospitality, wellness, lifestyle, and experiential design trends to ensure the club’s offering feels current, culturally aware, and globally relevant
Works collaboratively with the Director of Marketing to identify and develop strategic partnerships and sponsorships that enhance the member experience and strengthen community impact
Leads a dedicated team focused on concepting, planning and executing experiences that inspire, connect and celebrate the club community both inside and beyond the club
Translate the club’s identity into a balanced calendar that may include:
Member social and lifestyle events (summer pool happenings, elevated cocktail series, live music, culinary collaborations)
Fitness and wellness experiences (retreats, specialty classes, workshops, speaker series)
Community and philanthropic initiatives (strategic nonprofit partnerships, member‑driven giving moments)
Employee engagement programs (milestone celebrations, recognition experiences, internal culture‑building events)
Build and manage detailed timelines, budgets, production plans, and run‑of‑show documents for each experience
Oversee registration and guest‑communications platforms (e.g., Jonas, Eventbrite or similar), ensuring a seamless digital journey from invitation to post‑event follow‑up
Own all event logistics—space planning, décor, F&B, entertainment, AV/tech, and staffing—so that each touchpoint feels intentional and refined
Partner closely with Food + Drink leadership and the Executive Chef on menu design and service execution that align with luxury hospitality expectations
Collaborate with Marketing on promotion, storytelling, content capture, and social coverage that amplify the club’s experiential narrative
Manage vendor relationships, contracts, and service standards, maintaining compliance with all safety, licensing, and insurance requirements
Lead and develop the Community team (Community Manager, Event Assist, Swim Team Coach(es), and seasonal or part-time staff), modeling high-end service and hospitality mindset
Set clear performance goals and coach the team toward creativity, accountability, and cross-departmental collaboration
Conduct regular huddles and post-event debriefs to celebrate wins, capture learnings, and evolve best practices
Partner across departments to quickly address member questions, feedback, and service recovery opportunities in a thoughtful, brand-appropriate way
Partner with the General Manager and Controller to develop and manage the Community department budget, making data-driven decisions to achieve financial targets
Complete post-event recaps, budget reports, expense tracking, participation dashboards, payroll reports, and other required documentation
Own monthly forecasting and reforecasting, and be prepared to speak to variances in financial meetings
Recommend and maintain departmental policies, procedures, and best practices, including an up-to-date Community Department Policies & Procedures manual
Maintain organized event archives (run‑of‑show, guest lists, photos/video, survey data, debrief notes) to inform continuous improvement
Manage club donation requests and ensure consistent, brand-aligned responses to members and community organizations
Provide performance feedback and corrective action in line with club policies, fostering a fair, professional work environment
Executes departmental update meeting with the CEO/CBO/GM, as requested
Participates and fulfills all requirements set forth in the Continuing Education Curriculum Program
Completes all other duties as directed/assigned

Required

Bachelor's degree in hospitality, communications, event planning, or related field
Minimum 3-6 years' experience in hospitality, communications, event planning, or related field
At least 1 year of experience in a luxury, private club, resort, or wellness environment is strongly preferred
Strong English grammar and business writing
Driver's License - or Transportation to and from work, and on occasion, miscellaneous work-related trips of short duration
Exceptional leadership and communication skills
Strong business and financial management acumen
Excellent customer service skills
Demonstrates creativity, diplomacy and ability to remain calm under pressure
Advanced project management and multitasking ability
Ability to reason and problem solve without precedent
Ability to work and coordinate with several internal departments and external resources
Computer literate - proficient in: MS Office Suite, Adobe Creative Suite, and various social media platforms
Ability to communicate verbally
Regular and predictable attendance is required
Primarily sedentary work, with the ability to move throughout the facility
Ability to move 20 pounds on a regular basis
Visual acuity for computer work
Ability to type on keyboard up to 50% of the time

Preferred

At least 1 year of experience in a luxury, private club, resort, or wellness environment is strongly preferred
Preferred experience or interest in the health, fitness, or nutrition industry
Task management software such as Asana or Monday.com is preferred
