Responsibilities

Reporting to the Senior Director, Alumni Relations the Associate Director, Alumni Engagement Initiatives supports the development and implementation of alumni engagement programs that connect alumni to volunteer opportunities to deepen their engagement with the Haas School of Business
As the internal coordinator for the Alumni Volunteer Engagement Program Initiative, they match alumni with volunteer requests from faculty, student clubs, Centers and Institutes, and other Haas units. They will also develop, manage, and grow a volunteer database to strengthen alumni volunteer engagement
The Associate Director tracks and reports Key Performance Indicators (KPIs) for alumni engagement and identifies new technical efficiencies to improve these processes. Additionally, they contribute to the strategic and operational functions of the Alumni Relations team by supporting the management of MBA reunion volunteers, and serve as the primary contact for alumni inquiries overseeing the alumni@haas inbox and online alumni platforms such as LinkedIn, My Berkeley Online Portal, and CalNet and supporting initiatives that advance Alumni Relations priorities
Operational and logistical management of the Alumni Volunteer Engagement Program Initiative, facilitating alumni participation in short- and long-term volunteer roles (e.g., speakers, panelists, mentors, judges) in partnership with faculty, student clubs, and other Haas entities
Ensure smooth execution, track participation, solicit feedback and explore opportunities for program growth and improvement
Oversee program marketing and communications, proactively collaborating with internal stakeholders including faculty, staff, students, and other departments, to identify and promote volunteer opportunities that strengthen alumni-school connections and encourage engagement
Maintain and grow the alumni volunteer database to identify and match alumni to volunteer opportunities, working closely with the Development and Alumni Relations team to enhance alumni volunteer engagement, and ensure accurate and effective alumni volunteer tracking and reporting
Serve as the liaison to faculty, research centers, institutes, and other Haas campus units such as the MBA Career Management Group, program offices, and Berkeley Executive Education for bespoke alumni volunteer needs
Ensure alumni placements align with institutional priorities and engagement goals
Collaborate with Haas development colleagues to engage and identify donors and prospects for volunteer opportunities aligned with Haas’ mission and strategic priorities
Support Volunteer Engagement Program related initiatives, including the OneHaas alumni podcast
Support development, recruitment, and training MBA reunion and Class Engagement Officers volunteers, including promotion and communications to and on behalf of volunteer committees through newsletters, email campaigns, and promotional content that highlight class and reunion initiatives and programming
Provide administrative and logistical support for Alumni Board activities, including coordinating meeting logistics, preparing materials, and maintaining updated member records
Serve as the primary contact for alumni inquiries through the management of the alumni@haas inbox
Provide troubleshooting support for alumni services and benefits (e.g., CalNet, Slack, My Berkeley Online Portal), in collaboration with Haas Technology Solutions, University Development & Alumni Relations, and other campus partners
Approve alumni requests for the Berkeley Haas Alumni LinkedIn Group
Contribute to and support special initiatives advancing Alumni Relations strategic priorities
Coordinate and track the distribution of materials, gifts, and swag for alumni volunteers and engagement initiatives
In partnership with other members of the Alumni Relations team track volunteer programs and metrics to strengthen alumni connections and engagement across all Haas degree programs
Oversee the collection and reporting of volunteer alumni engagement data from campus partners, ensuring accurate reporting and tracking in the Cal Advancement Data System (CADS)
Manage inbound requests from campus stakeholders seeking alumni engagement data
Maintains, collaborates, and deploys, as needed, tools to further information and data sharing and technical efficiencies to promote accurate engagement tracking and reporting
Work in partnership with the Information Strategy & Analytics team to collect, support, and maintain data integrity and reporting while generating insights from volunteer engagement key performance indicators (KPIs)
Strong project management skills, a data-driven approach, and excellent communication and customer service skills to effective manage and evaluate program effectiveness, track engagement metrics, and promote participation across all levels of the organization

Required

Strategic planner with project management expertise, including developing project plans, managing schedules, tracking key milestones, and conducting in-depth evaluations to optimize programs and initiatives
Advanced time management skills, effectively prioritizing competing deadlines and overseeing multiple high-impact projects with exceptional attention to detail
Clear and effective verbal and written communication skills, with the ability to produce well-structured and audience-appropriate materials
Demonstrated ability to take initiative and solve problems independently, exercising sound judgment and decision-making to anticipate, address, and mitigate challenges, while keeping leadership informed as needed
Ability and interest to learn and optimize new software platforms and technical solutions
Strong data management and reporting skills with the ability to maintain data accuracy, analyze trends, and improve reporting efficiency
Experience with and knowledge of CRM database platforms and demonstrated expertise with spreadsheets and other analytics tools including Smartsheet, Qualtrics, and Microsoft Excel/Google Sheets
Familiarity with marketing, communications, and outreach strategies to support volunteer recruitment and engagement
Experience in alumni engagement, volunteer management, or a related field involving relationship-building and stakeholder engagement
Flexibility to work occasional evenings and weekends, with advance notice, to support key events and initiatives
Excellent interpersonal skills, demonstrating a desire to establish and maintain positive & professional working relationships with colleagues, students and team members

Bachelor's degree in related area and/or equivalent experience/training

Preferred

Familiarity with CASE (Council for Advancement and Support of Education) standards of alumni and volunteer engagement
Knowledge of fundraising/philanthropy and donor relations concepts, principles, and practices
Experience with Linkedin Sales Navigator, Slack, Wordpress, Canva, or other content creation platforms
Knowledge of or can quickly learn about UC Berkeley's and the Haas School's vision, mission, goals, objectives, achievements and infrastructure
