Responsibilities

Oversee daily operations across all Community Outreach programs, ensuring alignment with departmental goals and organizational mission

Maintain clarity around scope, priorities, and program expectations as programs evolve

Assess service delivery and implement changes to improve efficiency, quality, and client experience

Identify and address operational risks or breakdowns early

Ensure consistency and quality across program activities and client interactions

Support continuous improvement through reflection, feedback, and process refinement

Ensure accurate, timely data entry across program databases and management systems (Salesforce, Smartsheets, Microsoft Suite)

Monitor program data to assess outcomes, track trends, and surface insights that inform decision-making

Prepare and deliver monthly metrics reports that support grant reporting and funding requirements

Utilize data consistently to communicate program successes, challenges, and opportunities to leadership

Partner with grant staff to provide accurate program information for funding applications and reports

Supervise 3-4 direct reports and provide day-to-day oversight of interns and program volunteers

Set clear expectations, assign work, and provide ongoing guidance, coaching, and feedback

Foster a collaborative, inclusive, and high-performing team environment

Build strong relationships with volunteers, ensuring they feel like valued members of the team and empowering them to be self-starters

Support staff and intern development through regular check-ins, mentorship, and performance management

Address performance concerns early with supportive improvement plans

Coordinate with the Internship Program Specialist on intern placement, scheduling, and program alignment

Lead productive team meetings to share information, problem-solve, and ensure alignment

Work closely with clinic staff to coordinate client services and ensure smooth service delivery

Review recent cases and maintain strong communication between Community Outreach and clinic

Identify and address breakdowns in communication or service handoffs between teams

Collaborate on client needs that require both outreach and clinical support

Build and maintain strategic partnerships with community organizations, social service agencies, and local stakeholders

Serve as a liaison between PAWS Chicago and community partners to support program delivery and expand reach

Represent PAWS Chicago at community events and partnership meetings as needed

Support the development of new partnership opportunities that align with program goals

Work closely with the Assistant Director of Community Outreach, Community Services Director, and Internship Program Specialist to ensure alignment across programs and initiatives

Partner with the Communications team to highlight program stories, develop outreach materials, and support external messaging that reflects the department's work and impact

Communicate regularly with leadership regarding progress, challenges, and operational needs

Participate in departmental planning and contribute to strategic discussions
