Responsibilities
Serve as the central point of contact between the firm and the client, ensuring clear, timely, and professional communication
Participate in client meetings, capturing action items, anticipating needs, and ensuring follow‑through
Build strong, trust‑based relationships with client representatives and internal teams
Oversee the transition of all incoming client matters into the firm’s database and matter‑management systems
Coordinate with internal teams—including IT, Records, Billing, and Practice Support—to ensure accurate and complete data migration
Monitor matter setup to ensure compliance with client guidelines and firm standards
Develop and maintain project plans, timelines, and workflows to support efficient matter handling
Track progress on active matters, identify bottlenecks, and proactively escalate issues when needed
Support attorneys and legal teams with project scoping, resource coordination, and process optimization
Ensure that billing rates for all new matters are correctly established and aligned with client agreements
Collaborate with the Billing and Finance teams to monitor rate accuracy, resolve discrepancies, and maintain compliance with client billing protocols
Assist in preparing budgets, forecasts, and financial reports as needed
Qualification
Required
Minimum 5 years of legal project management experience, with at least 5 years working within a law firm environment
Strong understanding of legal workflows, matter lifecycle management, and client-service best practices
Exceptional communication, interpersonal, and relationship-building skills
Proven ability to manage multiple projects simultaneously in a fast-paced, deadline-driven environment
High level of proficiency with legal technology platforms, matter-management systems, and Microsoft Office tools
Detail-oriented, proactive, and comfortable working with senior stakeholders
Preferred
Ideally holds a Certification of Legal Project Management (CLPM) or similar credential
