Senior Administrative Assistant

Responsibilities
Exercise discretion to manage calendars and help prioritize commitments for the Associate Dean for Faculty Affairs and Chief Operating Officer. Plan for near-term and future activities and prepare the Associate Dean for special functions, receptions, and trainings
Organize and gather background information on upcoming projects and issues, summarize information understandably, and create efficient reviews for the Associate Dean for Faculty Affairs. Orchestrate projects and tasks for school committees/projects
Work with the Faculty Affairs Specialist and departments to review and obtain the Associate Dean's input on documents such as faculty offer letters and executive committee approval memos
Initiate and draft unique correspondence. Respond to inquiries or complaints from faculty and staff requiring interpretation of established procedures. Assess inquiries and direct them to the appropriate leadership within the school
Provide executive administrative support, as needed, including purchasing, travel, and hosting, maintaining supplies for the Dean's Office, and primary contact for service and repairs of office equipment
Provide backup support to the Dean's executive assistant
Qualification
Required
An undergraduate degree and four years of administrative experience or an equivalent combination of education and experience
Experience using a combination of Google apps, Microsoft Office suite, Adobe Acrobat and/or project management tracking software
Proven ability to use discretion when dealing with sensitive information and a focus on customer service are necessary
Proven ability to work with individuals from diverse communities and cultures
Strong written and verbal communication skills, with the ability to communicate clearly, effectively, accurately, and concisely
