Administrative Assistant (NWS 00844)
North Wind Group is seeking an Administrative Assistant to support their Engineering Principal Associate Directorate’s Office. The successful candidate will perform a wide range of complex administrative assignments and provide advanced administrative support to Workforce Leadership and the Engineering Training Manager.

Responsibilities
Provide advanced administrative support to Workforce Leadership and the Engineering Training Manager within the Engineering Principal Associate Director’s Office (PAD Office)
Serve as a member of the Engineering administrative team representing management in daily matters; take initiative to gather, clarify, and disseminate information and coordinate activities; respond on their behalf on administrative matters to all levels of management
Assist with coordination of Engineering-sponsored training including course communication, scheduling, enrollment logistics, and materials
Provide administrative support for the Apprentice Program and Engineering-sponsored academic programs including managing materials, submission of state forms, coordination of events
Generate correspondence on own initiative; create and edit email communications and presentations on behalf of management
Compile data for complex reports and presentations; maintain complex databases, spreadsheets, and tracking/filing systems
Perform other duties as assigned
Qualification
Required
Must be a US citizen
At least 18 years of age
Able to meet pre-employment requirements including any required physical, drug screen, and/or background investigation to satisfy clearance requirements from the Department of Energy
Advanced administrative knowledge and experience including accurate editing, grammar, and proofreading skills
Advanced knowledge of office procedures, techniques, and methods
Advanced organizational skills, attention to detail, accuracy, and follow-through
Experience working independently and as part of a team, in a multi-task environment with rapidly changing priorities, deadlines, and frequent interruptions
Advanced communication and interpersonal skills necessary to interact effectively with a diverse workforce and represent the organization using tact, diplomacy, and discretion
Effective problem-solving and decision-making skills to anticipate, identify, and independently recommend appropriate actions and solutions to complex administrative problems
Ability to be self-motivated and flexible, exercising a high degree of discretion and mature judgment in handling business-sensitive information, as well as personnel interactions
Advanced computer skills and experience working with Microsoft Office Suite, and the ability to learn new software quickly
Experience coordinating complex meetings and events
Required to pass various on-site training modules to pursue work assignments
Pre-placement medical examination may be required

Preferred
Familiarity with LLNL's policies and procedures
Knowledge of LLNL business applications and processes such as LEAP, TIME, LTRAIN, ePay, and Cliqbook
