Senior Manager, Executive Operations Office of the President

Responsibilities
Oversee daily operations of the Office of the President, ensuring efficient coordination and communication across departments
Supervise and mentor a part-time administrative assistant handling scheduling, travel, and day-to-day logistics
Develop and maintain systems to track priorities, follow-up items, and deliverables across teams
Prepare, edit, and manage high-level correspondence, briefings, reports, and presentations on behalf of the President
Handle confidential and sensitive information with discretion and professionalism
Serve as the primary staff liaison to the Board of Trustees, coordinating communications and ensuring timely information flow
Plan and manage all Board and committee meetings, including scheduling, agenda preparation, materials production, and minute-taking
Maintain accurate governance records, Board rosters, and annual meeting calendars
Support trustee engagement, onboarding, and communications, in alignment with best governance practices
Partner with the President and Board Chair on logistics, compliance, and documentation related to governance functions
Coordinate the logistical and communication needs between the President’s Office and NYAM departments to ensure collaboration and alignment; specifically ensure excellent information flow and coordination with offices of SVP for Finance & Administration, SVP for Research, Marketing and Communications, and Office of Development
Support internal planning, meeting preparation, and information flow among departments to facilitate execution of organizational priorities
Anticipate scheduling and coordination needs tied to organization-wide initiatives, leadership meetings, or Board-related activities
Track and follow up on action items requiring cross-departmental participation or input
Serve as a consistent point of contact to ensure clarity, preparedness, and responsiveness in the President’s engagements
Maintain professional, responsive communications with trustees, staff, and external partners on behalf of the President’s Office
Draft executive-level communications, reports, and acknowledgments that reflect NYAM’s tone and mission
Ensure quality and consistency of materials produced by the Office of the President
Manage the President’s Office budget, including expense reporting, procurement, and other relationships
Maintain organized filing systems for the President’s Office and Board materials
Coordinate event logistics and on-site support for meetings and special engagements hosted by the President
Qualification
Required
Bachelor's degree required
Minimum of 7–10 years of progressively responsible experience supporting senior executives, ideally in nonprofit, academic, or philanthropic organizations
Experience managing staff or administrative operations
Experience managing Board relations and knowledge of best practices in nonprofit governance
Strong understanding of nonprofit governance and executive-level communications
Outstanding organizational and project management skills; meticulous attention to detail
Excellent writing, editing, and interpersonal communication skills
Ability to handle confidential information with discretion and sound judgment
Proficiency in Microsoft 365, Teams, Zoom, and board management systems, and ability to integrate AI-based tools effectively and appropriately to ensure confidentiality and effective operations
Strong interpersonal and diplomacy skills and the ability to foster collaboration across teams
Demonstrated professionalism, integrity, initiative, and reliability
