Director of Facilities & Operations

Chicago Children's Advocacy Center is dedicated to providing hope and healing to children and families who have experienced abuse and trauma. The Director of Facilities & Operations oversees all aspects of facility management and operations, ensuring safety and security while creating an inclusive environment that supports the organization's DEIAB initiatives.

Responsibilities

Operate and manage a Computerized Maintenance Management System (CMMS)
Oversee the general maintenance and upkeep of the facility, including inspection records, building repairs, custodial service and onsite storage
Coordinate and implement all staff and partner office moves
Responsible for building space plan and seating chart
Maintain inventory of all building assets, noting useful life and anticipated timing of replacement or repair
Inspect building and document compliance with OSHA Standards
Create and monitor the annual facility budget
Lead negotiation of facility vendor contracts and monitor utilization
Mitigate risk, oversee safety and security systems
Develop and implement a comprehensive Emergency Response Plan, and ensure proper training and drills are conducted
Assist with plans for renovations, additions, or new buildings
Ensure that all NCA accreditation standards related to facility safety are met
Ensure all facility-related required governmental requirements and standards are met
Oversee the management and the use of shared spaces
Responsible for maintaining key inventory
Conduct research, implementation, and supervision of vendor contracts related to office management and process vendor billing. Maintain vendor relationships
Oversee our external file storage system
Conduct research and make recommendations for key contracts such as phone and internet services, security systems, and project management systems, and oversee implementation
Develop and implement policies and procedures for all office services including security processes, maintenance procedures and guest/client experience
Actively participates in the ChicagoCAC leadership team by offering suggestions and ideas in order to take action
Participate in local networking and training opportunities
Supervise a team of staff who will carry out the duties of the department, making recommendations for departmental structure and ensuring optimal team performance
Perform other duties as assigned

Required

A minimum of 5 -7 years of facility management experience
Bachelor's degree in a relevant field, such as facilities management, engineering or a business management related field
Ability to manage a CMMS system
Knowledge of OSHA Standards
Prior supervisory experience and strong communication, project management, budgeting and organizational skills

Paid Time Off (“PTO”): PTO starts accruing the first day of employment and accrues at a rate of 35 days in a 12-month period.
PTO days are used for all days off, including holidays and sick time so you have maximum flexibility in the use of your PTO.
Timing of vacations may be dependent on client needs, as that’s our first priority.
PTO goes up to 40 days after 5 years.
Additional PTO for FMLA-related reasons up to 20 days.
A remote work policy that provides flexibility in work hours so long as operational needs are met.
Regular expert training on evidence-based therapy modalities, which includes being able to earn Continuing Education Units.
