Quality, Outreach & Programming Coordinator

The Quality, Outreach & Programming Coordinator is responsible for supporting high-quality workforce program delivery through effective outreach, participant engagement, scheduling coordination, and continuous quality monitoring.

Responsibilities
Coordinate workforce program schedules, calendars, and session logistics across cohorts and rotations
Support onboarding, orientation, and participant flow in collaboration with the Workforce Development Manager
Ensure program sessions are properly staffed, prepared, and communicated to participants
Conduct outreach to community-based organizations, schools, referral partners, and workforce pipelines
Support recruitment efforts through information sessions, tabling, digital outreach, and follow-ups
Assist with intake coordination, eligibility documentation tracking, and enrollment confirmations
Maintain regular communication with participants to support attendance and engagement
Track participation trends and flag retention risks or attendance concerns
Provide participant-facing support to address barriers and escalate issues as appropriate
Monitor participant experience and program delivery quality across workforce offerings
Collect informal feedback, surveys, and qualitative insights from participants and partners
Identify trends, gaps, or operational issues and communicate findings to leadership
Support continuous improvement initiatives related to program design, delivery, and engagement
Maintain accurate outreach, enrollment, and participation records
Support internal reporting needs related to recruitment, engagement, and program quality
Ensure documentation aligns with internal standards and grant-related requirements
Qualification
Required
Associate's or Bachelor's degree preferred (Human Services, Education, Communications, or related field)
Experience in program coordination, workforce development, youth services, or community outreach
Strong written and verbal communication skills
Experience working with diverse populations and community partners
Comfort working in structured programs with attendance, scheduling, and reporting requirements
Preferred
Experience supporting workforce development or grant-funded programs
Familiarity with participant tracking systems or case management tools
Experience supporting recruitment pipelines or referral-based enrollment
Understanding of program quality monitoring or continuous improvement processes
