Legal Billing Coordinator / Legal Operations Consultant
Morae is seeking an experienced Legal Billing Coordinator or Legal Operations professional to provide contract-based support for their legal operations and billing function. This hands-on role involves high-volume legal billing and matter management activities, with opportunities for process improvement initiatives.
Responsibilities
Create, review, and maintain new legal matters (approximately 200–300 per month)
Verify accuracy of matter data from internal legal teams and external law firms
Assign and communicate matter numbers to internal attorneys and outside counsel
Audit new matters for correct financial coding, approvals, and compliance
Track and follow up on aged matter requests; prepare reports and escalate as needed
Perform detailed invoice review to ensure compliance with Outside Counsel Billing Guidelines (OCG) and agreed fee arrangements
Address invoice audit flags and resolve billing discrepancies
Monitor invoices for new timekeepers, rate changes, discounts, and fee arrangements
Troubleshoot rejected or incorrect invoices and collaborate with outside counsel
Coordinate with Accounts Payable to ensure timely invoice processing
Manage aged invoice follow-ups and reporting
Assist with new vendor onboarding and maintenance of law firm data (including updates and banking information)
Respond to ad-hoc legal billing inquiries from internal and external stakeholders
Provide minimal support for AP systems (e.g., Coupa)
Support legal operations inbox management
Contribute to process documentation and creation of SOPs / desktop procedures
Review and refresh Outside Counsel Guidelines (OCG)
Implement legal billing and operations process improvements
Prepare for a future eBilling system transition from SimpleLegal to Brightflag (planned for early/mid 2026)
Qualification
Required
Demonstrated experience in legal billing, legal operations, or eBilling administration
Strong understanding of law firm billing practices and OCG compliance
Familiarity with matter management, vendor onboarding, and AP coordination
Exceptional attention to detail and organizational skills
Strong communication skills with attorneys, finance teams, and outside counsel
Ability to operate independently in a fast-paced, high-volume environment
Preferred
Experience with SimpleLegal and/or Brightflag strongly preferred
