Responsibilities

Maintain and update all SSOT and production documents, ensuring timelines, statuses, and project data remain accurate
Coordinate meetings: prepare agendas, capture notes, track action items, and follow up to completion
Track deliverables for internal teams (marketing, finance, programming) and vendor partners
Assist with contracting logistics, including accommodation lists, room blocks, deadlines, and required documentation
Draft clear, concise internal communications (updates, reminders, recaps)
Maintain organized documentation and shared folders to ensure team-wide accessibility
Support partner and exhibitor communication by preparing FAQ sheets, quick-reference guides, and templated responses
Send real-time operational updates during event days (schedule changes, urgent notifications, etc.)
Track and confirm vendor deliverables (AV, catering, signage) to ensure all timelines are met
Gain proficiency in core event tech platforms (registration systems, mobile apps) to support logistical deadlines and reporting
Assist with post-event reporting and data analysis to support future planning
Identify operational gaps and propose process improvements
Complete additional tasks as assigned, which means to be agile and rise to the challenge: in service to our mission, from time to time, we do ask team members to take on, or volunteer to take on, additional or different duties outside of their formal job description

Required

Professionalism in team and external stakeholder interactions and communications, including honesty, integrity, and respect
At least 3 years of event management and procedures experience
Experience with event management and registration tools (RainFocus a +)
Strong planning, prioritization, and analytical skills and a demonstrated ability to manage multiple projects, requests, and deadlines simultaneously
Excellent interpersonal communication skills with the ability to communicate effectively both internally and externally
Ability to travel as position requires
