Payroll & Accounting Operations
Wayoh is a FinTech startup focused on redefining digital finance through innovative technology. The Payroll & Accounting Operations role involves managing end-to-end payroll execution, compliance, and benefits administration while supporting key accounting responsibilities for a growing public company.
Responsibilities
Prepare and post end-to-end payroll processing for all employees in a semi-monthly cycle, ensuring accuracy, timeliness, and compliance
Process off-cycle payroll transactions, employee data changes, including new hires, terminations, compensation changes, severance, back pay, settlements, etc
Execute and review payroll calculations including regular wages, overtime, bonuses, commissions, severance, deductions, retroactive pay, settlement payments, etc
Perform Pre-and post payroll validation controls, including reasonableness checks, variance analysis, and reconciliation of payroll outputs prior to funding and posting
Serve as the internal subject matter expert (SME) for federal, state, and local payroll tax compliance, filings, and reporting
Monitor legislative and regulatory payroll changes and proactively implement updates to maintain continuous compliance and audit readiness
Prepare and support year-end activities including W-2 issuance, 1099 coordination, and reconciliation to quarterly and annual filings
Ensure payroll processes remain SOX-compliant, audit-ready, and supported by appropriate documentation and approvals at all times
Administer and process employee benefit deductions including medical, dental, vision, FSA/HSA, life insurance, and related programs
Ensure accurate setup, ongoing maintenance, and reconciliation of benefit plans within payroll systems
Process and own day-to-day administration of the company’s 401(k) plan , including employee deferrals, employer match, loan repayments, and coordination with external providers
Reconcile payroll benefit deductions to carrier invoices and general ledger accounts, investigating and resolving variances in a timely manner
Serve as a primary point of contact for employee inquiries related to payroll deductions, payments, benefits etc. providing clear, timely, and confidential support
Prepare and post payroll journal entries in accordance with GAAP
Perform monthly, quarterly, and annual payroll-related general ledger reconciliations, ensuring alignment between payroll systems, tax filings, and financial statements
Prepare payroll-related analyses and explanations for management, auditors, and finance leadership, including fluctuations in compensation expense, taxes, and benefits
Support payroll-related close activities and tie-outs for internal reporting, external audits, and SOX compliance
Support and serve as a primary point of contact for payroll-related inquiries from employees, consultants, vendors, auditors, and regulators
Serve as the day-to-day operational owner of payroll systems, ensuring accurate processing, timely issue resolution, and consistent data integrity across all payroll cycles
Partner with Legal, Risk, Finance, HR, and external advisors to support time-sensitive payroll data requests, regulatory matters, audits, and litigation-related inquiries
Actively support payroll system selection and onboarding activities, and lead payroll system implementations, enhancements, and upgrades , including requirements gathering, configuration review, parallel testing and user acceptance testing (UAT), and post-implementation stabilization
Identify opportunities to improve efficiency, accuracy, and scalability within payroll and payroll accounting workflows
Execute parallel payroll runs and change-impact assessments to validate system changes, new configurations, and regulatory updates prior to production deployment
Support system-related documentation, including configuration guides, testing evidence, SOPs, and control narratives to support SOX and audit requirements
Identify, investigate, and resolve payroll discrepancies while implementing controls to prevent recurrence
Develop and maintain payroll processes documents, process maps, internal controls, and SOPs to support audit and compliance requirements
Qualification
Required
5+ years of demonstrable, end-to-end payroll experience, preferably within a public company, fintech, or fast-paced corporate setting
Bachelor's degree in Finance, Accounting, HR, or equivalent practical experience
Strong foundational knowledge of GAAP, payroll tax legislation (federal, state, and local), and compensation accounting
Strong experience with end-to-end Payroll systems, including full-cycle implementation, configuration, and optimization of platforms such as NetSuite, SAP, Oracle, Workday HCM, or similar enterprise systems, Paychex, ADP, etc
Proven ability to independently manage and organize multiple competing priorities, take complete ownership of outcomes, and deliver high-quality work under tight deadlines
Demonstrated success in creating, building, and executing business process efficiencies, documentation, and internal controls to scale the payroll function
Strong analytical and complex problem-solving skills with an excellent attention to detail to troubleshoot and resolve discrepancies, while maintaining a high degree of discretion and confidentiality
Clear and concise communication skills, with the ability to partner effectively with internal and external stakeholders
Preferred
CPP certification strongly preferred
Prior experience supporting SOX controls, audits, or public-company reporting is highly preferred
