Responsibilities

Define project scope, objectives, and deliverables in alignment with organizational goals
Develop detailed project plans, timelines, and resource allocation strategies
Coordinate and lead cross-functional teams to ensure project milestones are met
Monitor project progress, performance, and risks; adjust plans and mitigation strategies as needed
Manage project budgets, track expenses, and ensure cost efficiency
Communicate project status, risks, and updates to stakeholders regularly
Ensure compliance with organizational standards, policies, and best practices
Facilitate problem-solving, decision-making, and issue resolution throughout the project lifecycle
Oversee project closure activities, including documentation, evaluation, and lessons learned
Maintain accurate and complete project documentation for audits or future reference
Ensure deliverables meet quality standards, regulatory requirements, and stakeholder expectations
Manage procurement of resources and third-party vendors as needed
Assist with vendor coordination and contract negotiations, as appropriate
Develop and maintain effective working relationships with diverse groups, including staff, faculty, clinicians, patients, and visitors
Prepare and deliver presentations on project proposals, plans, and status in formal and informal settings
Facilitate meetings, reporting sessions, and group discussions to support project execution
Provide guidance, support, and motivation to project team members, fostering a collaborative, high-performance environment
Demonstrate flexibility and adaptability in navigating changing priorities, tasks, and processes
Seek, receive, and act on performance feedback; provide constructive, actionable feedback to peers and leaders
Prepare and manage project budgets, ensuring cost control, documentation accuracy, and financial compliance
Monitor resource utilization and adjust allocations to optimize operational efficiency
Review project invoices and financial documentation for accuracy and alignment with project scope
Assist with development of the department’s annual budget, as needed
Serve as a preceptor or mentor for the department’s Master of Health Administration (MHA) residents or interns, as assigned
Provide operational support to Culture of Safety, Risk Analytics, Risk Education, Professional Liability Management, and Clinical Risk Management programs, as needed
Support general department operations, workflows, and strategic initiatives
Perform other duties as assigned

Required

Bachelor's Degree in related field
3-5 years Experience directly related project management. MHA Residency completed at Keck Medicine of USC will count towards work experience
Exceptional written and verbal communication skills, including the ability to prepare clear reports, presentations, and stakeholder updates, and articulate project goals, timelines, and expectations to diverse audiences
Strong facilitation, public speaking, negotiation, and conflict-resolution skills
Demonstrated ability to lead multidisciplinary projects and work effectively with cross-functional teams, including clinicians, administrative leaders, and external stakeholders
Excellent organizational and project management skills, including independently prioritizing tasks, managing multiple deadlines, and adapting to changing or high-pressure conditions
Proven ability to analyze complex problems, evaluate policies and operational processes, and handle sensitive or confidential information with discretion and professionalism
Experience collaborating with Information Technology (IT) teams and managing vendors or vendor contracts
Ability to work effectively with culturally and professionally diverse individuals and teams
Advanced proficiency with Microsoft Office (PowerPoint, Visio, Word, Excel, Outlook) and familiarity with project management tools or software
Project Management Professional (PMP) or other Project Management Certification
Fire Life Safety Training (LA City) If no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date. (Required within LA City only)

Preferred

Master's degree in Business Administration, Healthcare Management, Public Health or a related field
Ability to conduct complex analyses of administrative organization, policies, procedures, practices, and cost-benefit of proposed programs
Specialty Certification Certified Professional Healthcare Risk Manager (CPHRM), Associate in Risk Management (ARM), and/or other Risk Management certification
Certification - Job Relevant LEAN, Six Sigma, or other Process Improvement certification
