Executive Assistant

Responsibilities
Schedule and manage the CTO’s calendar, prioritizing commitments and optimizing time
Filter and prioritize incoming communications and draft responses as needed
Coordinate travel logistics including flights, hotel, and transportation
Process and track expenses and ensure timely submission of reports
Prepare meeting agendas, presentations, and materials
Attend meetings when requested to take detailed notes and track action items
Serve as a point of coordination between the CTO and other departments
Track milestones and progress for ongoing technology projects
Organize and maintain confidential documentation and technical reports
Assist in preparing data, presentations, and reports for senior leadership and board meetings
Support the CTO in executing strategic initiatives including product launches, technology research, and R&D efforts
Collaborate with cross-functional teams (product, engineering, marketing) on technology projects
Coordinate logistics for events, conferences, and executive engagements
Qualification
Required
Bachelor's degree or equivalent experience preferred
3–5 years of experience as an Executive Assistant or in a similar role, ideally within a tech or startup environment
Familiarity with technology terminology and tools such as JIRA or Asana
Excellent time management, organization, and multitasking skills
Strong written and verbal communication skills for technical and non-technical audiences
High level of confidentiality and professionalism
Proactive problem-solving skills with the ability to anticipate executive needs
Proficiency with Microsoft Office, Google Workspace, and collaboration tools (e.g., Slack, Trello, Confluence)
Preferred
Experience in technology, software development, or IT environments
Understanding of Agile or Scrum project methodologies
Knowledge of data management and reporting tools
Experience working with teams across multiple time zones
