Membership Assistant/Representative

Orange County REALTORS is seeking a Membership Assistant/Representative to provide friendly and organized support at the front counter. The role involves assisting members with inquiries, managing phone calls, and maintaining membership data in the database.

Responsibilities

Member Assistants help members at the counter and over the phone
They are also proficient at updating and entering the membership data in the database
Each employee in Member Services is assigned specific recurrent projects based on abilities and seniority
Greeting visitors/customers, answering questions, providing information, addressing concerns, ensuring a positive experience
Answering, screening, and forwarding phone calls; handling emails and messages; taking messages accurately
Managing schedules/appointments, data entry, filing, organizing documents, sorting mail/packages, managing office supplies
Keeping the reception area clean, organized, and stocked with necessary materials
Answer incoming calls
Retrieve messages from the general mailbox (forward calls accordingly)
Identify member needs and transfer call to the appropriate person
Provide answers based on experience, knowledge, and abilities
Assist with Supra Authorization Codes
Receive a high volume of inbound calls for dues payments and renewals
Process Payments
High volume of inbound calls for dues payments and renewals
Assist and enroll new members
Process online applications and any other membership forms/changes
Promote participation to RAF and HAF
Modify existing records and reinstate members
Provide members with information to assist new agents/affiliates with benefits and access to their account(s) with us
Issue Supra services to members
Assist members to register for events/classes and/or process registration cancellations (when authorized)
Provide phone support using NextLevel (or current software) to monitor calls
Take renewal payments
Provide basic MLS and Education support
Help at the counter/desk with any walk-ins
Ask/verify/validate the product or service that the agent needs
Sell store items, including Selling and Programming and assign lockboxes
Issue store item and new membership invoices
Enter and process payments in the database
Provide information about classes, events, and other services provided to members
Help members resolve compliance or billing issues
Help the team by answering questions, providing training, and promoting collaboration
Responsible for keeping up to date with scanning inbox
Quality control, by removing any confidential data
Uploading PFD into member records

Skilled at handling phone duties, including signing up new members, cancellation services, and presenting relevant information and company correspondence
Proficient at updating and entering the membership data in the database
Experience in customer service, greeting visitors/customers, answering questions, providing information, addressing concerns, ensuring a positive experience
Ability to manage schedules/appointments, data entry, filing, organizing documents, sorting mail/packages, managing office supplies
Experience in maintaining a clean, organized, and stocked reception area
Ability to answer incoming calls, retrieve messages from the general mailbox, identify member needs and transfer calls accordingly
Experience in processing payments and handling a high volume of inbound calls for dues payments and renewals
