Executive Assistant
Samaritan is the leading not-for-profit provider of home-based primary care, palliative care, and hospice care, serving the South Jersey community since 1980. They are seeking a compassionate Executive Assistant to support their President/CEO and assist the Executive Leadership Team with various administrative and clerical functions.

Responsibilities
Assist members of Samaritan’s CEO and Executive Leadership Team with a wide variety of administrative and clerical functions
Schedule meetings and conference calls
Create, edit, distribute, and file minutes, documents, and reports
Coordinate logistics of attendance at special events/seminars
Coordinate communication with the Board of Trustees and Board Committee Volunteers
Schedule and coordinate meetings for Board of Trustees, Board Committees, and Executive Leadership Team
Prepare agendas and minutes of Executive Leadership, Board, and Committee meetings and other meetings
Maintain information on 3rd party website for Board and agency corporate documents, records and reports and administer access to site
Maintain compliance for Board of Trustees and Committee Member confidential information, files, and Bylaws
Track and maintain agency memberships and renewals including NJ State licensure
Reconcile monthly credit card bills for administrative expenses
Manage special projects as needed
Track Leadership time off
Maintain and update agency Policy and Procedures Manual
Coordinate computer and file retention efforts within the Administrative department
Maintain meeting room calendars and schedule meetings
Other responsibilities as needed to support the President/CEO and Executive Leadership Team
Qualification
Required
Formal technical/business training and high school diploma required, college degree preferred
Minimum of two years as assistant to executives
Ability to work flexible hours, including occasional evenings as needed
Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
Excellent interpersonal and customer service skills
Excellent time management skills and the ability to organize and prioritize multiple priorities, projects, meetings, events, and other work
Attention to detail and problem solving skills
Excellent written and verbal communication skills
Strong organizational skills with the ability to multi-task
Ability to maintain professional and positive demeanor with internal and external customers
