Clinic Administrative Coordinator

Responsibilities

Serve as the enthusiastic first point of contact for all incoming guests, staff, and families, ensuring a consistently warm, professional, and welcoming atmosphere
Proactively engage with every human entering the clinic, embodying the clinic's core values of excitement and positivity
Manage daily family communications including calls, schedule changes, reminders, and updates, ensuring timely and professional service
Provide behind-the-scenes support for staff morale initiatives like Mental Monday, Whimsical Wednesday, and Thankful Thursday!
Coordinate clinic trainings, meetings, and events, ensuring calendars, materials, and communications are always current
Own and manage staff schedules, attendance, and call-outs to ensure optimal daily clinic staffing and smooth operations
Accurately track timesheets, non-billable hours, and RBT compliance documentation for payroll and reporting
Oversee clinic supplies and inventory, ensuring the environment is stocked, organized, sanitized, and welcoming at all times
Maintain comprehensive clinic records, files, and health/safety standards
Support financial organization, including organizing billing and insurance documentation for the RCM team
Be MedAide trained (or willing to become certified immediately) to assist with medication administration when needed
Support emergency readiness, documentation, and compliance updates as required by state and federal regulations

Required

Must be at least 18 years old
High School Diploma or GED (Required)
Must be able to pass a background check and maintain a clear record throughout employment
Must not have immediate family members currently receiving therapy or services at our clinics
Must have reliable transportation to ensure consistent attendance at the assigned clinic
Must demonstrate consistent attendance and punctuality, as reliability is essential for smooth clinic operations
Possess strong written and verbal communication skills and thrives in a fast-paced, team-centered environment
Must be flexible and collaborative with a willingness to learn, apply feedback, and operate with a growth mindset

Preferred

Associates Degree or Bachelor's Degree encouraged to apply
1-2 Years experience in administrative, hospitality, retail management, educational, or healthcare settings is preferred
MedAide trained or willing to become certified promptly upon hiring
