Case Coordinator Receptionist

Responsibilities

Reserve, prepare, and restore hearing rooms for onsite arbitration hearings and mediations
Ensure hearing exhibits and materials are delivered to conference rooms as required
Greet hearing participants and provide exceptional front desk and customer service
Assist visitors with questions and direct them to assigned hearing rooms
Enter guest information into the building visitor management system
Ensure hearings are properly recorded and uploaded to the appropriate case files
Ship and receive digital recording equipment for offsite hearings
Send and receive hearing exhibits for arbitrators as needed
Prepare files for offsite storage and coordinate pickup with storage vendors
Create guest Wi-Fi access and assist participants with connectivity issues
Receive, scan, and distribute incoming mail and correspondence
Print and mail letters and attachments as directed
Support office operations by maintaining supplies and coordinating with equipment vendors
Cross-train and perform additional case administration functions as needed
Train and provide guidance to staff on tasks of general to moderate complexity
Serve as a role model within the department
Perform additional ad hoc administrative duties as assigned

Required

Previous receptionist, front desk, or administrative experience
Strong reliability and consistent attendance (required)
Excellent customer service and communication skills
Ability to prioritize workload and manage multiple tasks effectively
Proficiency with basic office technology and administrative systems
Ability to work independently on routine tasks and with supervision on complex matters
Must be located in or able to commute to the Financial District in New York City
Availability for full-time, in-office work Monday through Friday
