Security Receptionist

Responsibilities
Monitor reception areas, check in visitors, issue badges, and assist with controlling access
Maintain accuracy and attention to detail while working efficiently in a fast-paced environment and managing a high volume of tasks
Serves as a dispatcher for security assistance/services (e.g., escorts, transportation, vehicle malfunctions)
Facilitate/collaborate with security personnel on emergency situations (fire, medical, hazardous weather, etc.)
Prepare, enter, and complete forms in database as they relate to Visitor access, Contractor, and Employee access
Receive incoming calls, determine purpose and/or forward to appropriate personnel or functional area for response
Receive and distribute mail, packages, and deliveries and ensure that incoming items are screened and processed in accordance with security procedures
Verify identification and ensure that only authorized individuals gain access
Prepare and maintain reports in SharePoint
Identify, investigate, and report discrepancies/processing problems to include documentation and time-sensitive issues
Assist security staff with parking, new hire/applicant management, and front desk operations
Observe and report suspicious activity
Monitor and respond to inquiries received through various communication channels
Collect, sort, and distribute reports, correspondence, on-line messages, and faxes
Review reports and data; take necessary action(s)
Complete data entry in automated systems; may generate reports as necessary
Act as liaison between business units in support of operational initiatives
Operate and maintain standard office equipment
Maintain and stock essential materials and supplies
Complete required security and emergency training
Remain alert for possible emergency situations; follow Security procedures, contain situations, and alert security management, as needed
Perform other duties as assigned
Qualification
Required
Basic skills in mathematical calculations and accuracy with numbers
Ability to analyze and organize problems or work processes
Strong interpersonal skills to interact diplomatically and tactfully with staff, management, vendors, and members
Basic proficiency in word processing and spreadsheet software (e.g., Microsoft Word, Excel)
Effective verbal and written communication skills
Ability to exercise initiative and sound judgment in decision-making
Comfortable navigating multiple screens, PC applications, and adapting to new technologies
Ability to build effective relationships through rapport, trust, and professionalism
Experience using business software applications to prepare correspondence, reports, presentations, agendas, and meeting minutes
Complete security training and emergency training within a reasonable timeframe
High school diploma, GED, or equivalent experience
