Finance & Admin Operations Manager
Nodiac is seeking a Finance & Admin Operations Manager to oversee day-to-day bookkeeping and establish a disciplined administrative operating system. This role involves managing finance operations, producing management reports, and creating internal processes to support the company's growth.
Responsibilities
Own daily bookkeeping in our accounting system (AP/AR, bill pay, invoicing support, reimbursements, expense categorization)
Manage bank and credit card reconciliations; ensure accurate, audit-ready records and supporting documentation
Run a month-end close checklist and deliver a clean close on a consistent schedule
Maintain vendor records, payment terms, and compliance documentation (W-9/1099 coordination as applicable)
Coordinate payroll processing and related administration with our payroll provider
Partner with external CPA/tax providers; ensure they receive clean, timely support for filings and year-end
Produce a monthly reporting pack: cash position, burn/runway, budget vs actuals, AP/AR aging, vendor commitments, and key operational metrics as defined with leadership
Maintain a rolling cash forecast and track upcoming liabilities and renewals
Build and maintain spreadsheets/dashboards that the CEO and leadership can trust
Maintain cap table accuracy and equity administration tracking (SAFE/notes, issuances, option grants, vesting schedules) in the company’s tooling (e.g., Carta/Pulley or controlled spreadsheets) with a clear audit trail
Maintain core corporate records: investor lists, board materials support, document archives, signature-ready packets, and version control
Support board and investor reporting requests by assembling accurate, consistent data
Build and document internal processes (SOPs) for spending approvals, reimbursements, vendor onboarding, contract tracking, document naming/storage, and recurring calendar cadences
Implement lightweight controls to reduce errors and improve auditability (approval thresholds, separation of duties where possible, standard templates)
Improve tooling and automation (expense tools, bill pay workflows, shared drive structure, reporting templates)
Qualification
Required
3-7+ years experience in bookkeeping/accounting operations and administrative operations for a small business or startup
Strong working knowledge of accounting fundamentals (reconciliations, accrual vs cash concepts, close discipline, documentation)
Advanced Excel/Google Sheets skills (pivot tables, lookup functions, SUMIFS/XLOOKUP; comfort building structured models and reports)
Hands-on experience with QuickBooks Online or Xero (NetSuite exposure a plus)
Demonstrated ability to build repeatable processes and documentation (SOPs, checklists, templates)
High attention to detail with a bias for accuracy, audit trails, and clean records
Strong written communication and ability to drive clarity with busy stakeholders
Preferred
Experience with cap table platforms (Carta, Pulley) or equivalent equity tracking
Familiarity with spend/expense tools (Ramp, Brex, Expensify) and bill pay workflows (Bill.com)
Startup experience supporting board packs, investor updates, and fundraising diligence requests
Experience coordinating across multiple entities, contractors, or project accounting
