Intellectual Property Legal Assistant
The Phoenix Group is a company focused on intellectual property and patent practices, and they are seeking an Intellectual Property Legal Assistant to support attorneys and legal staff. This role involves handling administrative coordination, document preparation, and operational tasks in a high volume environment.
Responsibilities
Deliver day to day administrative assistance to attorneys and legal professionals
Manage calendars, schedule meetings, and coordinate appointments and deadlines
Prepare, revise, proofread, and format legal correspondence and internal documents
Organize and process documents and ensure accurate record keeping
Maintain electronic client files including consistent filing of emails and attachments
Assist with billing support functions such as invoice review, tracking, and record updates
Support client onboarding processes including conflict checks and engagement materials
Monitor and track expenses and approval workflows
Maintain records related to professional licenses, certifications, and continuing education requirements
Coordinate travel arrangements and related logistics when necessary
Qualification
Required
Minimum of three years supporting legal or professional services teams
Strong organizational and time management skills
Exceptional attention to detail and accuracy
Proactive and solution oriented approach to work
Excellent written and verbal communication abilities
Advanced proficiency with Microsoft Office applications
Strong proofreading and grammar skills
Proven ability to manage sensitive and confidential information
Ability to meet tight deadlines consistently
Preferred
Previous experience supporting an intellectual property or patent practice
Exposure to patent filings or related regulatory processes
Experience maintaining document templates and standardized materials
Familiarity with document management or timekeeping systems
Experience using legal platforms such as iManage or Intapp
