Responsibilities
Create and maintain photoshoot lists for all styles requiring photography
Locate, track, and organize samples from the showroom and production
Coordinate photo sample orders and follow up with Production team to ensure timely delivery
Prepare and approve samples for photography readiness
Review images in Dropbox to ensure accuracy and quality
Ensure images are uploaded and delivered to buyers by required deadlines
Assist in selecting styles for editorial shoots
Pull and maintain selling reports for key accounts including Macy’s, Dillard’s, Von Maur, Windsor, Belk, Laura Canada, Melanie Lyne, and Group USA
Clean, format, and optimize selling reports for clarity and usability
Create and distribute best-seller reports across all relevant teams
Prepare and send line sheets to buyers ahead of appointments
Set up the showroom for buyer appointments, including:
Pulling samples
Reviewing prior orders and shipments
Looking up pricing
Take detailed notes on buyer interest during appointments
Maintain showroom organization and cleanliness before and after appointments
Manage sample flow and remove or archive samples as needed
Create and send buyer recap PowerPoints including styles, pricing, colors, images, and delivery timelines
Enter styles into NuOrder for Macy’s (Betsy & Adam)
Create and distribute updated line sheets for Macy’s (Blondie Nites)
Send formal appointment recaps to buyers
Enter bulk orders accurately as they are received from buyers
Create new styles in AS400 as needed
Triple-check all order details for accuracy
Send bulk orders to Production and run post-entry reports
Update internal order books and tracking tools
Manage order workflows for multiple accounts
Handle PO follow-ups, order confirmations, size break validations, and pricing accuracy
Send F&Bs, copies, tickets, and reports to buyers and Production teams as required
Run ATS reports and distribute to buyers when needed
Coordinate TOPs ordering and delivery timelines with Production
Track and follow up on TOP deliveries to ensure deadlines are met
Manage photo, ad, and buyer-requested samples
Prepare and ship samples, including:
Creating FedEx labels
Packing boxes
Sending tracking information to buyers
Track sample returns and follow up with buyers accordingly
Assist Sales leadership with day-to-day tasks and urgent needs
Create inspiration and trend-based PowerPoint presentations
Provide front desk coverage when needed
Support other Sales Assistants during absences, including selling support, order entry, and sample coordination
Respond to urgent buyer and internal emails as required
Support onboarding and expansion of new wholesale accounts
Cross-train on SPS systems and Amazon account support
Continue expanding operational knowledge to provide coverage and support across the sales organization
Qualification
Required
Strong attention to detail and organizational skills
Ability to manage multiple brands, buyers, and timelines simultaneously
Proficiency with AS400, NuOrder, Excel, PowerPoint, and reporting tools
Strong communication skills with buyers, Production, and internal teams
Ability to thrive in a fast-paced wholesale environment
