Administrative Support Specialist
Washington Headquarters Services is seeking an Administrative Support Specialist to provide office automation support within the Executive Services Directorate at the Pentagon. The role involves managing the Director's calendar, coordinating meetings, and ensuring compliance with agency policies regarding personnel programs and administrative actions.

Responsibilities
Providing executive-level administrative support by managing the Director's calendar, coordinating meetings, and reviewing all incoming and outgoing correspondence for accuracy, completeness, and policy adherence
Managing and tracking the status of all incoming correspondence and action documents using an automated control system, ensuring timely responses and completion of all suspense items by their due dates
Monitoring the directorate's civilian personnel programs, including the performance management system and incentive awards program, by providing guidance to supervisors and ensuring compliance with agency policies
Collaborating with managers to initiate and prepare administrative and personnel actions, including developing justifications and gathering information for recruitment and position management requests
Conducting management studies of administrative functions and operational workflows; analyze findings, identify trends, and recommend changes to operating practices to improve overall effectiveness and efficiency
Serving as the primary point of contact for records management, designing and implementing procedures for maintaining and retrieving both personnel and correspondence data

Must be determined suitable for federal employment

The incumbent must be able to obtain and maintain a Secret security clearance
This position may require 10% occasional travel away from your normal duty station for official business on military or commercial aircraft
The incumbent may be required to work other than normal duty hours, which may include evenings, weekends, and/or holidays and/or overtime
One year of specialized experience equivalent to the GS-05 grade level in the Federal service that demonstrates your experience: Providing administrative support to a manager or senior leader; Assisting with the processing of administrative actions; Using an automated system to track correspondence and other action items
Possess one full year of graduate level education which demonstrates the knowledge, skills, and abilities necessary to do the work of this position, OR successful completion of the requirements for a bachelor's degree AND meet requirements for Superior Academic Achievement
Combination of education and experience
One year of specialized experience equivalent to the GS-07 grade level in the Federal service that demonstrates your experience: Assisting with administrative programs; Coordinating administrative and personnel actions on behalf of agency/organization leadership
Possess a master's or equivalent graduate degree OR 2 full years of progressively higher-level graduate education leading to such a degree OR LL.B. or J.D., if related
Combination of education and experience
