Provider Scheduling Specialist

The Provider Scheduling Specialist is responsible for coordinating patient access to care through managing the provider schedule, ensuring timely payroll submission, and maintaining accurate visit statistics.

Responsibilities

Create and maintain the template and schedule for all providers in QGenda and Epic, based on required staffing levels including call and vacations to include all approved blocks and edits of the schedule
Central contact for provider cancellations; provider emergencies and sick calls; review provider schedule for rescheduling instructions. Alert Center staff of schedule changes
Facilitate schedule cooperation and meetings
Adding/deleting providers and SMVs maintenance
Shift assignment - Assign Saturday shifts / Code Red shifts / Same Day Provider shifts / Outpatient Call shifts / CM Preceptor shifts
Coordinate with Team Directors all shift adds/changes/updates to fill all shifts including call and vacations. Communication to scheduling group included
Supply provider visit statistics out of Epic for payroll, assist with reporting and decision support, prepare and submit provider payroll
Entry in Outlook of all room reservations and communication of scheduled reservations, including recurring appointments
Attend and contribute to weekly room reservation group to resolve any reservation issues (overbooking, room size problems and or missing items)
Maintain expertise and familiarity with systems and tools
Evaluation of provider time off requests; provide decision support for Team Directors when appropriate
Review visit statistics as required and maintain awareness of goal daily visits when accommodating provider schedule change requests
Perform other duties as assigned by supervisor

Qualification

QGendaEpicScheduling experiencePayroll experienceNotaryBilingual (English/Spanish)

Required

High school diploma or equivalent or higher education
Minimum two years' scheduling or payroll experience preferably in a healthcare setting

Preferred

Notary preferred
Bilingual in English and Spanish, both written and verbal preferred
