SharePoint Administrator / Data Management Specialist

Aptive Resources is seeking a technically skilled Data Management Specialist to support the Enterprise Protections, Regulatory, Outreach, and Systems (EPROS) team within the Department of Veterans Affairs. This role focuses on ensuring data integrity, process automation, and developing dashboards to support the business processes of the VA research community.

Responsibilities

Support the ePROS team in managing data and business process applications that underpin ORD research oversight and education activities
Configure, maintain, and suggest improvements to the ePROS SharePoint site, including lists, libraries, pages, and workflows to support business and operational needs
Develop, refine, and maintain PowerApps solutions and Power Automate flows to automate business tasks, including:
Notification triggers and alerts
Data collection and validation
Approval and signature routing
Automated emails and scheduled reminders
Collaborate with stakeholders to gather and document requirements for data analytic dashboards, including metrics, views, and filters needed by leadership and field stakeholders
Support the design and enhancement of user interfaces and functional requirements for dashboards (e.g., Power BI), ensuring they are intuitive, usable, and aligned with user needs
Perform ongoing data quality checks and monitoring across ePROS systems to identify data-related risks, issues, and errors
Develop, recommend, and communicate mitigation strategies in a timely manner to ensure the integrity and reliability of business process application data
Analyze and evaluate data for trends, anomalies, and process issues; document findings and support corrective actions
Recommend and implement improved data collection, editing, processing, and distribution methods to increase efficiency, consistency, and accuracy
Coordinate with ePROS leadership, technical staff, and other ORD stakeholders to ensure that automation and data solutions are fit for purpose, maintainable, and aligned with VA and ORD standards

Required

Bachelor's degree in information systems, data analytics, computer science, business, or a related field
4+ years of relevant experience in data management, business process automation, or information systems support
Demonstrated proficiency with Microsoft 365 tools, including: SharePoint (site administration, lists/libraries, permissions, basic workflows), Power Platform tools such as PowerApps, Power Automate, and Power BI (or similar dashboarding tools), Microsoft Teams for collaboration and coordination
Experience assessing and analyzing data for trends, quality issues, risks, and errors, and implementing corrective actions
Strong attention to detail and commitment to data integrity and process consistency
Ability to work independently in a remote environment, manage multiple priorities, and meet deadlines
Ability to obtain and maintain a public trust clearance
Legal authorization to work in the U.S

Preferred

Experience with VA, VHA, DoD or other federal healthcare/research environments
High level of experience and comfort working independently with senior leadership, faculty, staff, students, medical professionals, and external agencies in complex organizations
Experience gathering requirements and developing functional specifications for dashboards, reports, or business process applications
Familiarity with best practices for dashboard UX/UI design and user-centered information display
Experience analyzing and mapping operations, and designing and maintaining low-code solutions and automated workflows in complex organizational environments to improve efficiency and effectiveness
Experience working across multiple stakeholder offices to ensure engagement and adherence
Experience performing data analysis, Key Performance Indicator / metrics aggregation to identify trends based on user feedback
Familiarity with data governance, data quality frameworks, or quality management practices
Strong communication skills, including the ability to translate technical concepts into clear language for non-technical stakeholders
Demonstrated ability to manage multiple priorities, and operate independently in a remote setting
Ability to work well under pressure, multi-task, and manage deadlines
Must possess discretion and mature judgment, as confidential information is routinely encountered
