Part-Time AI Operations Assistant

They are seeking a Part-Time AI Operations Assistant to support the setup and operation of AI tools for their help desk and internal processes, focusing on documentation and process improvement.

Responsibilities
Data Quality & Maintenance
Document data quality issues and recommend improvements
Maintain configuration notes and data dictionaries
Perform data cleanup and tagging activities in Halo
Monitor ticket data for consistency and completeness

SOP Documentation
Write clear, step-by-step Standard Operating Procedures using established templates - Include troubleshooting decision trees, common issues/solutions tables, and escalation criteria
Create Notion-ready documentation that can be immediately deployed
Ensure SOPs include client communication templates and SLA information
Knowledge Base Development
Review resolved tickets to identify common solutions - Format solutions for searchability and quick reference
Organize content by category and ticket type
Ensure knowledge base articles are accurate and up to date
Training Material Creation
Develop onboarding documentation for new helpdesk technicians
Create checklists and competency milestones
Design training schedules that build skills progressively
Document 'fully productive' criteria and success metrics
Process Improvement Support
Work with project manager to identify documentation gaps
Capture requirements for workflow improvements
Help implement and test process changes
Gather feedback from technicians on documentation usability
Qualification
Required
2–3 years of professional experience in technical support, operations, data entry, or junior analyst role
Comfort with structured data entry and working in business systems (ticketing tools, CRMs, or similar platforms)
Basic familiarity with AI or automation tools (chatbots, LLM-based assistants, or workflow tools), with strong interest in learning more
Solid attention to detail and consistency when entering, cleaning, and reviewing data
Clear written communication skills and ability to follow documented procedures
Ability to write clear, step-by-step technical documentation
Preferred
Experience with help desk or service management platforms (Halo PSA or similar)
Familiarity with Microsoft 365 administration
Exposure to Python, low code/automation tools, or basic scripting
Prior work on process documentation or process improvement initiatives
Experience creating training materials
