Endowment Program Manager - Workforce Operations

Responsibilities

Assists the Chief Compliance Officer in the design, development, implementation, and evaluation of the endowment compliance program at UTMB
Manages and implements processes and procedures for the creation and monitoring of endowments, scholarships, and accumulation gift account compliance across the institution
Prepares, submits, and tracks documents (i.e., gift agreement, account load form) required to establish endowments, including appropriate signatures
Coordinates the establishment of an account and the fund transfer with Financial Management, processes the requests to UT Systems for Board of Regents approval, notifies endowment holders and/or account signatories about the establishment of new endowments, and informs all involved with the expenditure of endowment funds about compliance rules, regulations, and reporting
Serves as the primary contact on all endowment-related information institution-wide
Investigates and coordinates or responds to calls from endowment holders, account owners, contributors, and/or development officers
Mediates endowment compliance concerns and develops controls to minimize endowment risks
Reconciles expenditures and available funds of endowment and gift to ensure monies are spent according to the donor's wishes, and UTMB remains in compliance with UT System regulations concerning unspent fund balance
Generates endowment compliance reports for the Endowment Compliance Committee and meets external reporting requirements
Produces ad hoc endowment reports as needed for the Endowment Compliance Committee and the campus community
Develops and implements an endowment compliance training program. Monitors adherence to training requirements for endowment holders and account signatories. Updates the training program as necessary
Responsible for the timely and accurate recording of endowment information
Maintains department files for all information received and generated in the process of receiving, recording, and acknowledging endowments
Provides assistance to the Development Office and Alumni & Parent Relations Office as needed for reporting, presenting expenditure summaries, and budgeting of annual expenses
Performs fiscal reconciliations of UT Systems gift, scholarship, and endowment data with data managed and generated by other University departments and entities, including, but not limited to, UTMB Finance, Schools, and Departments
Responsible for special projects as assigned

Required

Bachelor's degree in Business Administration, Accounting, Finance, or related field
Three years business experience to include project management, data analysis, budgeting, or accounting
May substitute required education with additional years of equivalent experience on a one-to-one year basis
