Intellectual Property Legal Assistant
Quest Group is actively recruiting for a detail-oriented and highly organized Intellectual Property Legal Assistant with docketing experience to support attorneys and IP professionals in managing patent, trademark, and copyright matters. The role involves managing IP dockets, preparing and filing documents, and ensuring compliance with internal procedures.
Responsibilities
Manage and maintain accurate IP dockets for patents, trademarks, and copyrights, including U.S. and international matters
Monitor, calculate, and calendar deadlines related to filings, office actions, renewals, and maintenance fees
Prepare and file IP-related documents with the USPTO and foreign IP offices, including applications, responses, extensions, and renewals
Assist attorneys with patent and trademark prosecution, enforcement, and portfolio management
Coordinate with foreign associates, clients, and internal teams regarding filings and deadlines
Review incoming correspondence from IP offices and update docketing systems accordingly
Generate reports related to docket status, upcoming deadlines, and portfolio summaries
Maintain organized electronic and physical files in accordance with firm or company procedures
Assist with billing, time entry, and administrative support as needed
Ensure compliance with internal procedures and best practices for IP docketing and records management
Qualification
Required
Legal assistant, paralegal certificate, or equivalent legal experience required
Minimum of 3 years of experience in intellectual property support, with a strong focus on docketing
Demonstrated experience using IP docketing systems (e.g., CPI, FoundationIP, Anaqua, Patricia, or similar)
Knowledge of USPTO procedures, deadlines, and filing requirements
Familiarity with patent and trademark prosecution and maintenance processes
Proficiency with Microsoft Office and document management systems
Exceptional attention to detail and accuracy
Strong organizational and time-management skills
Ability to manage multiple deadlines in a fast-paced environment
Strong written and verbal communication skills
Preferred
Experience with IP filings
Trademark and/or patent prosecution experience
Knowledge of PCT, Madrid Protocol, and international deadlines
Experience working in a law firm or corporate legal department
