Responsibilities
Manage complex, high-volume calendars for senior investment professionals across multiple time zones
Coordinate domestic and international travel, including itineraries and last-minute changes
Prepare and reconcile expense reports, resolving discrepancies with internal finance teams
Enter and maintain accurate data in DealCloud and internal systems
Schedule internal meetings and support related logistics and materials
Partner with another Executive Assistant and an Administrative Assistant to ensure consistent coverage and support
Maintain organized digital files, calendars, and records
Provide general executive and administrative support, including ad hoc requests and limited personal assistance
Qualification
Required
7+ years of executive assistant experience within the financial services industry
Strong proficiency in Microsoft Outlook, Word, and Excel
Ability to manage high-pressure situations and competing priorities
Excellent written and verbal communication skills
Highly organized, proactive, and detail-oriented
Strong judgment, discretion, and professionalism
Ability to work flexible hours when needed, including occasional after-hours support
Team-oriented with a collaborative mindset
Preferred
Bachelor's degree preferred
