Accounting and Operations Associate

Crewe Foundation Services is a Salt Lake City–based organization specializing in the planning and administration of charitable foundations and funds. The Accounting and Operations Associate is responsible for managing the financial and administrative activities related to Donor Advised Funds, including fund setup, donor contributions, grant distributions, and compliance with reporting standards.

Responsibilities

Establish and maintain new DAF accounts, ensuring all documentation is complete and accurate
Coordinate with donors and internal staff members to verify account details and initiate onboarding processes
Process internal and external fund transfers, including bank and investment account transactions
Accurately record and reconcile incoming donations, including checks, ACH, wire transfers, and publicly traded securities
Review and process grant requests submitted via donor portal or by staff
Prepare and issue grant letters, checks, and payment confirmations
Maintain accurate records of grant history and ensure proper classification and tax reporting
Calculate and apply administrative fees based on current fee schedules
Ensure proper allocation of investment income, fees, and expenses across DAF accounts
Assist in preparing reports and maintaining records required for IRS Form 990 and other regulatory filings
Reconcile accounts monthly and ensure accurate classification of all transactions
Update and maintain donor and fund records in CRM and accounting systems
Help improve system processes for increased efficiency and accuracy

Required

Bachelor's degree in Accounting, Finance, Nonprofit Management, or related field
2+ years of experience in accounting, financial operations, or fund administration; nonprofit experience preferred
Knowledge of fund accounting and donor-advised fund regulations is a plus
Proficiency with accounting software and donor databases; QuickBooks and/or CSuite/Foundant experience is desirable
Strong analytical, problem-solving, and organizational skills
Exceptional attention to detail and ability to meet deadlines
High level of discretion and ability to handle confidential information

Preferred

Familiarity with charitable giving and IRS compliance standards
Customer-service mindset with a professional, donor-facing demeanor
Comfortable working in a small team and independently managing multiple priorities
